You open an analytics report expecting today's ticket volume and the widget says "No data" — or the numbers are there but they don't match what your agents actually did. Before you assume the data is broken, know that the usual culprits are boring and fixable: a timezone or business-hours calendar that doesn't line up, a filter that's scoping tickets out from under you, a refresh lag that means "today" hasn't been processed yet, or a metric that simply isn't included on your plan. This guide walks through each cause in order, tells you exactly where to look in Freshdesk to fix it, and stays honest about the cases where the native reporting genuinely can't give you the answer you want.

Start with the quick diagnosis

Wrong-or-missing report data almost always traces back to one of four root causes, and they show up differently:

  • Timezone / business-hours skew — the totals are there but shifted. A day's tickets look light because the report is counting a different 24-hour window than you are, or an SLA/response-time metric looks wildly off because it's measuring against the wrong working calendar.
  • Filter scope — a report-level or widget-level filter is silently excluding the tickets you're looking for, so a group, product, or date range shows "No data" that really means "no matching data."
  • Refresh lag — today's numbers are low or empty because Freshdesk hasn't processed them yet. This one is plan-dependent and self-heals.
  • Plan gating — the metric, custom report, or drill-down you want doesn't exist on your tier, so the option is missing rather than wrong.

Work through them in that order. The first is the most common and the most misleading, so it's worth understanding properly.

Cause 1: Timezone and business-hours skew

This is the big one, and it has two separate layers that people conflate.

The account and agent timezone. Your helpdesk has one timezone, set under Admin → Account → Helpdesk Settings, per Freshworks' timezone documentation. But every agent also carries their own profile timezone, set separately in their agent profile. If the two disagree, the "created today" boundary an agent sees in their view can differ from what a report rolls up — a ticket created at 11pm in one zone falls into a different reporting day in another. When a daily count looks off by a handful of tickets at the edges, this mismatch is usually why.

The business-hours calendar. This is the subtler one. A business-hours calendar in Freshdesk carries its own timezone and is associated with specific agent groups — it's group-dependent, not account-wide. Any metric that's calculated against business hours (first response time, resolution time, and the SLA-linked figures in your reports) is measured against that calendar's clock. If a group's tickets are being timed against a calendar set to the wrong timezone, every duration in the report inherits the skew, even though the raw ticket counts look fine.

The fix is to reconcile all three: the helpdesk timezone, each agent's profile timezone, and every business-hours calendar's timezone should match the reality of the team the report describes. Cause 2: Filter scope is hiding your data

"No data" frequently means "no data matching your current filters." Freshdesk's analytics apply filters at two levels, and this is the source of a lot of phantom emptiness. Per the Custom Reporting basics documentation, you can set a report-level filter that constrains every widget on the report, or a widget-level filter that constrains just one. A report-level date range or group filter left over from a previous investigation will quietly zero out widgets that would otherwise be full.

To fix it:

  1. Open the report and check the report-level filter first — this affects all widgets, so it's the one most likely to blank the whole page.
  2. Then check the individual widget's filter if only one widget is empty while its neighbours have data.
  3. Confirm the date range covers a period that actually contains tickets — an accidental "yesterday" on a quiet day reads as "No data."
  4. Remember that the start of the week is configurable, so a "this week" widget may begin on a different day than you assume, shifting which tickets fall inside the window.

Cause 3: Refresh lag — today's data isn't processed yet

If today's numbers are suspiciously low or empty while yesterday's look fine, you're almost certainly looking at refresh lag rather than a bug. Freshdesk processes analytics data on a schedule that depends on your plan. Per Freshworks' note on report data freshness, the push-out cadence is roughly:

So on a Growth plan, tickets from the last few hours legitimately won't appear yet, and a Free-plan account effectively sees yesterday's world. This isn't wrong data — it's not-yet-processed data, and it resolves itself on the next cycle. The practical fix is to stop treating the current few hours as final, and read "today" as directional until the next refresh lands.

Cause 4: Plan-gated metrics and reports

Sometimes the data isn't wrong or delayed — the thing you're trying to build just isn't on your plan. Freshdesk splits reporting into curated reports (pre-built, available broadly) and custom reporting, and per the Custom Reporting basics documentation, custom reports are available on Pro and Enterprise only. On Free and Growth you get the curated set, but the ability to build your own widgets, add custom metrics, and drill down into the underlying tickets is gated above you.

That means a metric you saw in someone else's screenshot, or a drill-down you expected on a curated widget, can simply be absent — not broken. You reach the report builder itself via the Reports icon → Analytics → New Report. If the option to create or customise a report isn't there, check your plan tier before you file a bug. It's a fair gate — Freshworks reserves the heavier analytics engine for higher plans — but it's an easy one to mistake for a data problem.

The honest limits — and where an AI layer picks up

Freshdesk's analytics are genuinely capable once the configuration is sound: the curated reports are sensible, custom reporting on Pro and above is flexible, and the refresh cadence is predictable. Credit where it's due — for measuring your support operation, the native tooling is solid, and most "wrong data" turns out to be a settings mismatch rather than a real defect.

But notice what reports fundamentally are: a rear-view mirror. They tell you first response times slipped last Tuesday; they don't shorten the next one. They count how many tickets breached; they don't answer the ticket that's about to. And they can only report on the categories your intake actually captured — if tickets are mistagged or misrouted at the source, the report faithfully summarises the wrong picture, and no amount of filter-tuning fixes a garbage-in problem.

FAQ

Why do my Freshdesk reports show "No data"? Most often a filter is excluding your tickets — check the report-level filter first (it constrains every widget), then the individual widget filter and the date range.
