Best Salesforce Service Cloud Case Management Apps (2026): 12 AppExchange Apps Scored
The best Salesforce case management apps for Service Cloud in October 2026 are Vicasso's Email to Case Premium, Case Merge Premium and Case Flags, plus GOAT Email, which share the top tier at 10 of 10 on our five public criteria. Kubaru, Distribution Engine and Case Split follow on 9. We searched AppExchange nine ways, read 301 listings, and scored 21 third-party apps whose main job is a step in handling a Service Cloud case: getting email in, routing it, prioritizing it, merging or splitting it, and timing the work. Twelve are written up below and every score is shown.
Key takeaways
- Email to Case Premium, Case Merge Premium, GOAT Email and Case Flags share the top tier at 10 of 10, and all four work on the case record itself.
- Vicasso makes four of the 12 written-up apps, and each carries a contract minimum of 15 users for a year, from $1,800 for Case Split to $3,960 for Email to Case Premium.
- Routing apps such as Kubaru and Distribution Engine lose a point on working in the case because they assign owners in the background, away from the case page.
- Q-assign and Plauti Assign have 141 and 64 reviews but publish no price, so they score 0 on price and sit in the 7 tier.
- Apps that merge, split or reassign cases change what an AI agent sees on a case, so map them before any agent touches the queue.

Tiers: 10 (apps 1-4), 9 (apps 5-7), 8 (app 8), 7 (apps 9-12). Ratings, review counts, prices and update dates were read on each AppExchange listing on October 30, 2026.
How we scored them
Start with what Service Cloud does on its own. Email-to-Case turns customer emails into cases and fills in case fields. Case assignment rules send each case to a user or queue by conditions you set. Omni-Channel routes work by priority, rep capacity and skills, configured without code, and Salesforce says standard Omni-Channel is retired with the Summer '26 release, replaced by Enhanced Omni-Channel. The apps below sell what comes after: handling the email once the case exists, round robin and shift schedules as settings, duplicate and split cases, and response-time flags.
We kept third-party apps whose main job is a step in working a Service Cloud case. That rules out the products AppExchange also files under "case management" for social services and law firms, plus phone, SMS, knowledge and AI agent apps. Each app is scored 0 to 2 on five criteria.
| Criterion | 2 points | 1 point | 0 points |
|---|---|---|---|
| Marketplace reviews | Average 4.5+ with 50+ reviews | 4.0+ with 10+ reviews | Fewer or none |
| Published price | Full price on the listing or vendor site | A free tier or "from" price only | Contact sales |
| Works in the ticket | Acts inside the ticket or agent workspace with documented features | View-only or limited | Unclear |
| Setup effort | Marketplace install with documented self-serve setup | Needs configuration help or an onboarding call | Custom work or undocumented |
| Maintained | Listing or app updated in the last 12 months | 12 to 24 months | Older or unknown |
On Salesforce, "the ticket" is the Case record page or the Service Console's utility bar. An app scores 2 there only if agents use it on the case itself; apps that assign owners or collect metrics in the background score 1. A "Starting at" or "from" price scores 1. Many AppExchange listings print "Starting at" above the lowest plan, so an app keeps 2 only when its full price is published without that wording, on the listing or on the vendor's own pricing page. Vicasso's product pages and Distribution Engine's pricing page list each plan as a flat per-user price; PowerRouter and Round Robin Distributor show only the AppExchange "Starting at" figure and score 1. Free apps score 2. Ties are broken by review count, and tied apps are presented as a tier.
Salesforce's own Case Timer for Service Console, a free Salesforce Labs app, sits outside the ranking. It logs the time an agent spends on a case. It has 25 reviews averaging 3.68, and its listing was last updated on June 16, 2023.
Top tier, 10 of 10: four apps
All four have 80 or more reviews, publish every plan's price, work on the case record and were updated in 2026. Review count sets the order.
1. Email to Case Premium: email handling on the case, 10/10
Vicasso's Email to Case Premium takes over what happens after an email becomes a case. Agents reply and log a case comment in one action, see every email, update and file on one timeline, and switch comments between public and private. Loop protection stops out-of-office and auto-reply storms from opening duplicate cases, and closed-case rules decide whether a late reply reopens a case or starts a new one. Soham Banerjee, reviewing it on the listing about three months ago, wrote that "the Timeline component, Contact Substitution, Internal Domains handling, and the New Comment Page give our support team far more than native Email-to-Case."
Scores: reviews 2, price 2, works in the ticket 2, setup 2, maintained 2.
It costs $22 per user per month after a 14-day trial, with a $3,960 contract minimum that covers 15 users for a year. Vicasso also sells a one-time Guided Setup for $2,350, and the same review describes setup "over several sessions" with Vicasso's engineer, covering Org-Wide Addresses, outbound email and routing. Documentation and an installation guide are linked from the listing, and Vicasso's documentation puts setup at 30 to 60 minutes for an experienced Salesforce administrator, with the Guided Setup sold as an add-on. It has 232 reviews averaging 4.97 and was updated on October 20, 2026.
Best for: teams whose cases mostly arrive by email and whose agents juggle threads, CCs and reopened cases.
2. Case Merge Premium: duplicate cases found and merged, 10/10
Case Merge Premium flags duplicates while an agent is on a case and lets them merge from the case, an account or a list view, up to nine cases at once. A semi-automatic mode merges in one click; full automatic mode merges duplicates in the background on criteria you set. Merges can be undone from the merge history, and admins choose whether related records move, get cloned or are left alone. Sean Murtaugh wrote on its listing about six months ago that it has been "a really solid tool for us over the past 10+ years, helping us merge cases quickly and without a lot of hassle."
Scores: reviews 2, price 2, works in the ticket 2, setup 2, maintained 2.
Plans are $12 per user per month, or $18 with automatic merging, with a $2,160 contract minimum for 15 users. It has 91 reviews averaging 4.86 and was updated on October 15, 2026.
Best for: teams where customers email, call and chat about the same problem and each contact opens a case.
3. GOAT Email: the full email thread on the case, 10/10
GOAT Email shows inbound and outbound email on Salesforce records, cases included, and adds a shared inbox, email templates with cross-object merge fields, thread labels, inbox rules and open and click tracking. Its listing pitches it as an alternative to Einstein Activity Capture and an add-on to Email-to-Case, with email stored on the record. The Record Inbox costs about $20 (€17) per user per month, or about $190 (€170) a year; Record Inbox plus the Global Inbox is about $30 (€25) a month or about $280 (€250) a year. Nonprofits get 10% off annual plans.
Scores: reviews 2, price 2, works in the ticket 2, setup 2, maintained 2.
The listing links a user guide and an installation and setup guide. It has 86 reviews averaging 4.99 and was updated on August 27, 2026. It also works on leads, contacts and opportunities.
Best for: service and sales teams that share customer email and want one thread on the record.
4. Case Flags: which case to answer next, 10/10
Case Flags raises a colored flag when a customer writes in and ages it by rules for business hours, priority and account tier, so agents can see which case needs a reply anywhere in Salesforce. Managers see response time on every exchange, split into time waiting on the team and time waiting on the customer, and can rebalance work from one view. Aimee Boelling wrote on its listing about two months ago: "Case flags is what Service Cloud is missing."
Scores: reviews 2, price 2, works in the ticket 2, setup 2, maintained 2.
It costs $15 per user per month with a $2,700 contract minimum for 15 users, plus an optional $2,350 Guided Setup. It has 83 reviews averaging 4.95 and was updated on October 7, 2026.
Each Vicasso minimum is the per-user price times 15 users times 12 months, so a team buying all four at 15 seats commits to $10,620 a year before any bundle price; Vicasso offers a Service Experience Suite on request. A floor of 15 users keeps small orgs from buying one seat, and the suite gives Vicasso an incentive to sell the second, third and fourth app.
Best for: queues where agents cherry-pick easy cases and response times slip on the rest.
Second tier, 9 of 10: three apps
The two routing apps lose their point on working in the case, since they assign owners in the background. Case Split loses its point on reviews, with 13.
5. Kubaru: assignment for cases and anything else, 9/10
Kubaru assigns cases, leads and any custom object by round robin, weights, skills, territory or load, and reassigns records nobody has worked. It can assign only to reps who are logged in, run separate schedules for teams in different time zones, and alert reps in Slack, by email or on mobile. The listing says it needs "no coding or Salesforce admin access," and links install and update guides.
Scores: reviews 2, price 2, works in the ticket 1, setup 2, maintained 2.
It costs $20 per user per month after a 30-day trial, with a five-license minimum. It has 153 reviews, every one five stars, and was updated on October 9, 2026. Most recent reviews come from sales teams, so ask for a support reference.
It fits teams that have outgrown assignment rules and want load balancing without code.
6. Distribution Engine: routing that watches availability and SLAs, 9/10
Distribution Engine from NC Squared routes cases, leads and custom objects by workload, availability, skills, territory or shift. On the service side, the listing describes automated triage, priority routing, shift-based assignment and escalation that reassigns cases before an SLA is breached. Install and setup guides are linked from the listing.
Scores: reviews 2, price 2, works in the ticket 1, setup 2, maintained 2.
Starter costs $20, Advanced $35 and Unlimited $55 per user per month, with a minimum order of five licenses and a 30-day trial. It has 139 reviews averaging 4.98 and was updated on October 5, 2026.
Best for: support teams working shifts, where a case should go to whoever is actually on.
7. Case Split: one issue per case, 9/10
Vicasso's Case Split breaks a case that holds several issues into separate cases, each with its own owner and metrics. The agent picks which emails, attachments, comments and related records move to the new case, can split into a case that's already open, and the new case links back to the original. Vicasso's argument is about measurement: a case that stays open for an unrelated second issue distorts resolution time and SLA figures.
Scores: reviews 1, price 2, works in the ticket 2, setup 2, maintained 2.
It costs $10 per user per month, with an $1,800 minimum for 15 users and an optional $1,175 Guided Setup. It has 13 reviews averaging 4.85 and was updated on October 14, 2026.
Best for: B2B queues where one email asks about a bill, a bug and a renewal.
Third tier, 8 of 10: one app
8. Dispatcher: free round robin with schedules, 8/10
Dispatcher from IBR LLC routes leads, tasks, cases and opportunities by rules on field values, with weighted round robin and hourly user schedules, so weekday office hours and a weekend on-call rotation can sit side by side. It works alongside existing queues and assignment rules. Setup is covered by six videos linked from the listing.
Scores: reviews 1, price 2, works in the ticket 1, setup 2, maintained 2.
It's free. It has 14 reviews averaging 4.93 and was updated on October 9, 2026.
Best for: small teams that need an on-call rotation and nothing more.
Fourth tier, 7 of 10: four apps
Two well-reviewed routing apps land here because neither prints a price, one timer app because its listing hasn't been updated since 2023, and one free app because it has three reviews.
9. Q-assign: rules, round robin and SLA-based distribution, 7/10
Ortoo's Q-assign routes cases, leads, work orders and custom objects with point-and-click rules, weighted round robin, load balancing, caps, live agent availability and shift management. For service teams it lists SLA-based case distribution, assignment to the best or first available agent, and AI actions such as case triage, sentiment analysis and spam detection. The listing links quick-start and install guides.
Scores: reviews 2, price 0, works in the ticket 1, setup 2, maintained 2.
The listing shows no plans and asks buyers to email sales, and Ortoo's pricing page, which now covers its Orchestrator platform, says it quotes "per work item against your actual volumes." It has 141 reviews averaging 4.97 and was updated on October 7, 2026.
Best for: high-volume teams ready to price by case volume.
10. Plauti Assign: routing with capacity and SLA reassignment, 7/10
Plauti Assign routes any object by capacity, even or weighted distribution, skills, territory or distance, honors working hours, shifts and out-of-office status, and reassigns a record when an SLA is missed. Plauti's documentation covers installation, configuration and manual routing.
Scores: reviews 2, price 0, works in the ticket 1, setup 2, maintained 2.
The listing has no plans, and Plauti's pricing page lists routing under a "Base + seats" model with no figures. It has 64 reviews averaging 4.98 and was updated on September 10, 2026.
Best for: field and service teams that route by distance or need reassignment on a missed SLA.
11. Handle Time Metrics (WorkIt! Case Timer): time per action, 7/10
CronSights' Handle Time Metrics, formerly WorkIt!, measures how long each user spends on each action on every case, with Service Console support, multitasking across console tabs and a delayed timer start. Managers can sort handle time by action, product or case type to find where time goes.
Scores: reviews 1, price 2, works in the ticket 2, setup 2, maintained 0.
It costs $15 per user per month, or $140 per user per year. It has 38 reviews averaging 4.89, but the listing was last updated on February 9, 2023, and cronsights.com, the site its listing links, refused connections when we checked on October 30, 2026, so ask CronSights what has changed since.
Best for: contact centers that report handle time by case type.
12. Case Labels: colored labels agents can act on, 7/10
adelforce's Case Labels lets agents tag cases with labels in colors you choose, displayed in the Service Console, and lets admins use a label as a condition or an action in a business rule. Managers can report on labels. The listing links setup instructions.
Scores: reviews 0, price 2, works in the ticket 2, setup 2, maintained 1.
It's free. It has 3 reviews, all five stars, and was updated on October 21, 2025.
Best for: teams that want quick visual tags without adding picklist fields.
The other nine apps we scored

| Round Robin Distributor | Mirketa | Round robin lead and case assignment | 11 (4.91) | Starting at $2,000 per company/year; $169 or $369 per company/month, custom above 30 users | Mar 4, 2022 | 1/1/1/2/0 | 5 |
| High Volume Case Responder | Stone Cobra | Mass email responses to cases | 12 (4.83) | $50,000 minimum under 50 seats, contact above | Mar 5, 2022 | 1/1/1/1/0 | 4 |
| CronSights SLA and Lifecycle Metrics | CronSights | SLA breach and lifecycle reporting | 6 (5.00) | $7,200 per company/year, "contact us for pricing details" | Nov 8, 2022 | 0/1/1/2/0 | 4 |
Rows are ordered by total, then review count. Email to Case Advance scores 1 on setup because its listing links case studies and data sheets but no setup guide, and Grazitti's product page timed out when we checked.
What these apps change for an AI agent on the same cases
Macha doesn't run on Salesforce, but the checks we run before an AI agent goes live on the help desks we do support carry over to a Service Cloud queue. We read the field definitions and the values on real tickets, because an agent that writes a field has to use the values your workflows already expect. Case Labels, Case Flags and Q-assign's triage all write to the case, so list which fields each app owns before anything else writes to them.
We list every automation that fires on a new ticket. If one sends an auto-acknowledgment and the AI agent also replies, the customer gets two emails. Any automation that tags a ticket excludes that tag from its own conditions, so the agent can't loop on its own update.
Merge and split apps change which cases exist. A merge closes one case into another and a split creates a new one, and either can match the conditions that send cases to an agent. Routing apps change the owner, so check whether an AI agent's case would be picked up and reassigned by Kubaru or Distribution Engine mid-reply.
We analyze about a month of past tickets to pick the first category, replay past tickets against the agent before launch, as our test-run guide describes, and start in safe mode, where drafts land as internal notes and nothing reaches a customer until the team approves. On Salesforce, the Agentforce guide and our Service Cloud AI implementation walkthrough cover where those checks live.
Which one fits your situation?
- Most cases arrive by email and the threads are a mess: Email to Case Premium, or GOAT Email if sales shares the inbox.
- Customers write in several times about one problem: Case Merge Premium.
- Agents pick easy cases and response times slip: Case Flags.
- Assignment rules can't balance load or follow shifts: Kubaru or Distribution Engine, or Dispatcher if you need it free.
- One case carries three unrelated issues: Case Split.
- You need handle time by case type: Handle Time Metrics, after asking about updates.
If you're still weighing the platform itself, our Zendesk vs Service Cloud comparison covers the base product, and Agentforce pricing covers Salesforce's own AI agent.

How we researched this
On October 30, 2026 we ran nine keyword searches on AppExchange in a logged-out Chrome browser, among them "service cloud case" (1,268 apps) and "email to case". Expanding each result list gave 301 unique listings. We scored the 21 third-party apps whose main job is a step in handling a Service Cloud case.
We read each listing's rating, review count, active pricing plans, pricing notes, last-updated date, supported products and linked resources the same day, and the vendor pricing pages for Vicasso's apps, Distribution Engine, Q-assign and Plauti Assign. Review quotes come from each listing's Reviews tab. We didn't install or test any app or contact any vendor, and one reviewer applied the scores to public pages only.
Prices are shown in US dollars; prices published in other currencies were converted at European Central Bank reference rates of October 29, 2026.
Disclosure: Macha makes AI agents that run inside help desks. Macha doesn't run on Salesforce, so it isn't an option for Service Cloud cases and isn't ranked here. Nobody paid to be listed.
