What is Spiceworks Cloud Help Desk today?

Cloud Help Desk is a hosted ticketing system aimed at internal IT teams. Employees submit requests by email or through a portal, technicians work them in a queue with categories, priorities, due dates and ticket rules, and there are dashboards plus a Power BI connector for reporting. It has been running since 2006, and it sits alongside Spiceworks' other free tools: Inventory Online, Connectivity Dashboard, Contracts and the IT community itself.

The business model is the thing to understand first, and Spiceworks states it plainly on its About page: "We developed a free IT management app and monetized it by connecting IT pros to tech brands through advertising." That explains the single most revealing line in the plan table. The Premium plan's headline benefit over Core is "Ad-Free". The free tier is an advertising product, and the paid tier is the opt-out.

What does the free Spiceworks Core plan include?

The Core plan, at $0, with a hard ceiling. Spiceworks' plan comparison, read on September 20, 2026, lists Core as 1–5 Admin/Technician Seats with:

  • Ticketing, incident tracking and email alerts
  • Reporting dashboards
  • Unlimited end users who can submit tickets
  • The end-user portal
  • Custom attributes you can create and sort by
  • TOTP-based multi-factor authentication

Everything above that line is Premium: an ad-free interface, tasklists, bulk actions, custom ticket statuses, and 24/5 live chat support.

Two details decide whether free works for you, and both are easy to get wrong.

End users don't count. The pricing update FAQ published on September 1, 2026 is explicit: "Only users with the owner, admin, manager, and tech roles who work on tickets need a seat. End users who just submit tickets (via email or the User Portal) are not subject to any per-seat pricing." So a 400-person company with three IT staff is inside the free plan.

The sixth seat is a cliff, not a step. The same FAQ answers the obvious question and says no: "The Core (Free) Plan allows for up to 5 employees. Once your account has 6 or more active employees, you must upgrade to the Premium Plan. When you subscribe, the Premium Plan fee applies to all active employees in your account, starting with the first user. For example, an account with 8 active employees will be charged the full per-user price for all 8 seats."

So the jump from five staff to six is not $5 a month. It is $30 a month, because all six now bill.

How much does Spiceworks Premium cost?

Premium is $5 per seat a month billed annually, or $6 billed monthly, as published on September 20 and unchanged on September 24, 2026. That is changing.

On September 1, 2026 Spiceworks posted: "Effective October 1, 2026, Premium pricing will increase by US$1 per employee per month - from US$5 to US$6 billed annually and US$6 to US$7 billed monthly."

Run the arithmetic at the seat counts that actually matter, taking annual billing in both columns:

The post also describes a lock-in window: existing annual customers can extend at the current rate for another 12 months, monthly customers can convert to annual and then extend, and Core users can upgrade to an annual plan before October 1 to hold today's price for a year. Rate lock-in is annual-only; monthly plans cannot hold the old price. That window closes on October 1, 2026, so check the billing page before you plan around it.

What changed at Spiceworks, and when?

The "Spiceworks is dead" threads are about the desktop product, and they are half right.

  • 2018: Spiceworks announced that Spiceworks Desktop would not be improved beyond version 7.5 and that 8.0 was on hold, according to its own 2021 tools update.
  • June 2021: that same post says the Desktop 7.5 download was pulled at the end of June, with full end-of-life "at the end of the year".
  • 2022: Help Desk Server, the on-premise replacement, had its development discontinued, as a community thread from October 2022 records.
  • April 21, 2025: Spiceworks announced Premium and the seat cap. Organizations with six or more owner, admin, manager or tech seats had to upgrade at $6 a seat a month, from a start date the post shows moved from July 1 to June 1, 2025.
  • September 1, 2026: the price rise above.
  • September 2, 2026: a "What's Next in 2026" post lists single sign-on and subtickets as planned work, so the product is still being built.

Put together: the free, unlimited-agent, on-premise Spiceworks that r/sysadmin remembers stopped existing in 2021. The free cloud desk that replaced it kept unlimited agents until June 2025 and has been capped at five since. Both halves of the community's confusion are correct about a different thing.

Who should still use Spiceworks?

It suits an internal IT team of one to five technicians in an organization of any size, who want email-to-ticket working in an afternoon, don't want to run a server, and will tolerate advertising in the interface. For that team it remains one of the best deals in the category, because the end-user count is unlimited and the portal is included.

It is the wrong fit if you have six or more technicians and a budget process that makes $432 a year harder than it sounds, if you need customer-facing support rather than employee IT, if ads in an operational tool are unacceptable, or if you need on-premise hosting for a compliance reason. That last one has no Spiceworks answer at all any more.

On G2, Spiceworks Cloud Help Desk holds 4.3 out of 5 from 311 reviews, read in a browser on September 20, 2026, with 285 of those 311 in the top two star bands. The recurring complaints are consistent. A verified reviewer in logistics and supply chain at a 51–1,000 employee company wrote on August 24, 2023, in a 4.5-star review: "mobile app lacks some features which are on desktop, often email notifications are delayed, integrating with other systems is quite challenging." One more thing worth knowing if you are comparing listings: G2's pricing tab for the product still shows a free self-hosted option, and Spiceworks' own site sells only the cloud desk. G2 names the seller as Ziff Davis; the Spiceworks site footer carries the line "Spiceworks Inc."

If the seat cap is the problem, go self-hosted. osTicket and FreeScout both run unlimited agents and unlimited tickets for the price of a server, and both are the answer people in r/sysadmin actually give. You trade a monthly bill for a patching duty, which is the honest version of the deal.

If the ads are the problem and the team is small, look at the other free cloud tiers. Jira Service Management is "Free forever for 3 agents", verified on September 20, 2026, which is tighter than Spiceworks on seats but includes request types, workflows and automation out of the box, and makes obvious sense if your organization already runs Jira.

If you need to serve customers as well as employees, Zoho Desk. Zoho's own pricing FAQ states "The Free edition gives you 3 users with limited capabilities", and moving up puts you on a per-agent plan.

If you're pricing a paid replacement, know that Freshdesk's permanent free plan is also gone. Freshworks' pricing page now lists only Growth, Pro and Enterprise, at $19, $55 and $89 per agent a month billed annually on the US-served page as of September 24, 2026, with a 14-day trial. Freshworks also runs a Free program that covers up to 2 agents for 6 months, which buys time rather than replacing a free plan. Freshservice, its IT-side product, has no free plan either.

We read Spiceworks' Cloud Help Desk product page, its pricing page and its About page on September 20, 2026, and pulled five community announcements from 2021, 2022, 2025 and 2026 through the community's public JSON so we could quote them exactly and date each change. We checked the G2 rating in a real browser because G2 blocks scripted requests, and verified the Jira Service Management, Zoho Desk and Freshdesk figures on those vendors' own pricing pages the same day. We did not create a Spiceworks account, so nothing here comes from a first-hand test; the interface screenshot is Spiceworks' own image from a Premium release note published on August 12, 2026.
