Help Scout AI Implementation (2026): Set Up AI Answers Yourself, Hire a Consultant, or Add a Third-Party Agent?
Help Scout AI implementation usually means one of three routes: an admin sets up Help Scout's own AI Answers agent (the Compass engine) in Beacon, a consultant or freelancer does that setup and the Docs cleanup for you, or you connect a third-party AI agent such as eesel AI or DocsBot that works in your Help Scout inbox through the API. AI Answers costs $0.75 per resolution, and by our estimate from Help Scout's documented setup steps a Beacon-only rollout takes two to four weeks. Help Scout has no directory of implementation partners, so outside help comes from consultants and freelancers you vet yourself.
Key takeaways
- Help Scout AI implementation runs on one of three routes: AI Answers configured by your own admin, a consultant or freelancer doing that setup for you, or a third-party AI agent connected through the Help Scout API.
- Help Scout AI Answers bills $0.75 per resolution on Standard, Plus and Pro, gives new accounts a 3-month free trial, and gives existing Help Scout customers no trial at all.
- Help Scout AI Answers only answers customers in Beacon on a website or in an app, because the email channel for its Compass engine was still marked "coming soon" on October 14, 2026.
- Help Scout's partner program has resellers, referral partners, affiliates and integration partners, but no public directory of implementation partners to hire for an AI setup.
- A Help Scout team that wants AI replying to email today needs AI Drafts on Plus or Pro, which only drafts for a human, or a third-party agent such as eesel AI or DocsBot, unless it builds its own agent on the Help Scout API.
Disclosure: Macha publishes this blog, and Macha isn't available on Help Scout. Our AI agents run on Zendesk, Freshdesk, Gorgias, Front, HubSpot or Intercom, so this page has nothing of ours to sell you on Help Scout. Every outside price links to its source, read on October 14, 2026. This is the Help Scout chapter of our AI customer support implementation guide; the Zendesk, Freshdesk and Front versions cover the same decision on those desks.
What does Help Scout's own AI include in 2026?
Help Scout sells two kinds of AI, and they're billed differently. The pricing page lists them per plan:
| Feature | What it does | Plans (pricing table, Oct 14, 2026) | Cost |
|---|---|---|---|
| AI Answers (Compass engine) | Answers customers in Beacon from your knowledge sources, escalates the rest | Standard, Plus, Pro | $0.75 per resolution, 3 months free for new accounts |
| AI Drafts | One-click reply draft for an agent to edit and send | Plus, Pro | Unlimited; legacy user-based plans pay $50 per 100 drafted conversations |
| AI Summarize | Bullet summary of a long thread | Plus, Pro | Included |
| AI Assist | Expand, shorten, edit or translate text | Standard, Plus, Pro | Included |
| MCP server | Lets outside AI tools and agents read conversations, Docs and reporting data | Not on the plan table | Read-only today, per Help Scout's Agent page |
Plans cost $25, $45 and $75 per user a month on annual billing. Our Help Scout AI explainer and Help Scout pricing guide cover each feature and the plan math; this page is about getting it live.
Three details of how it works decide most of the implementation plan.
AI Answers lives in Beacon. Help Scout's setup article says you need a Docs-enabled Beacon embedded in your site or app (or the Beacon built into your Docs site), plus an AI Agent under Tools > AI Agents that holds the knowledge. The Agent page lists Website and In-app as live channels. Email, past conversations as a knowledge source, app connections (payment processors, CRMs) and voice "Roles" for specific Inboxes or Beacons are all marked "Coming Soon." So today the agent answers chat-style questions from your content. It can't look up an order, and it doesn't touch the email queue.
A resolution is billed when the customer stops asking. Help Scout's billing article charges once per session when AI Answers gives an answer and the customer doesn't ask for more help. Help Scout earns more as more sessions end that way, so the definition matters: a customer who gives up and emails you instead may still count as resolved in the AI session.
The free trial is for new accounts only. The same article says: "Existing Help Scout customers do not receive a trial period when they begin using AI Answers." If you've run Help Scout for years, your first test month is billed from day one, so set the monthly spending limit before you switch it on.
Help Scout says companies "average a 73.19% resolution rate" with AI Answers (AI features page). That's Help Scout's average across customers who chose to turn it on, measured by Help Scout's own resolution rule. It isn't a forecast for your queue.
Which AI support tools integrate with Help Scout?
These are the tools that, on their own websites on October 14, 2026, claimed a Help Scout integration that adds AI to answering customers. We list them alphabetically; we didn't rank them, and Macha isn't one of them. Our best AI agents for Help Scout roundup compares them in more depth.
| Tool | How it connects to Help Scout | What it does there | Published price (Oct 14, 2026) |
|---|---|---|---|
| Chatbase | Integration listed on its integrations page | "Handle routine questions with an AI agent and escalate the rest into Help Scout" | See Chatbase's own pricing page; Help Scout appears as an escalation target, and Chatbase's docs index had no Help Scout setup article |
| DocsBot AI | A Help Scout OAuth app plus the Webhooks app, set up by you | Writes a draft or note on each new conversation; optional auto-send of the first reply | Help Scout integration from Standard, $149 a month (pricing) |
| eesel AI | Authorized through the Help Scout API from eesel's dashboard | Reads conversations, drafts or sends replies from your mailbox, adds notes and tags, routes; tests on past conversations first | $299 a month for 500 credits up to $1,749 for 5,000, one credit per ticket (pricing) |
| Help Scout AI Answers | Built in | Beacon answers from Docs, websites, Google Docs and Improvements | $0.75 per resolution |
| Help Scout AI Drafts | Built in | Drafts in the reply editor from past conversations and Docs | Included on Plus and Pro |
Two tools sit next to this list. Solo AI, listed in Help Scout's app directory, compares your product's codebase against your Docs articles and suggests fixes for stale text and images, which matters because Docs is what AI Answers reads. And if you have developers, you can build your own agent on the Mailbox API; our guide to building an AI agent for Help Scout shows the webhook-and-reply loop and the API limits (200, 400 or 800 calls a minute by plan).
How do the three routes compare?
| Route | Who does the work | Time to first live answers | Published cost (Oct 14, 2026) | Who tunes it after launch |
|---|---|---|---|---|
| DIY with Help Scout AI | Your Help Scout admin, plus whoever owns Docs | 1 to 2 weeks to a first Beacon; 2 to 4 weeks to a tuned rollout | $0.75 per resolution after the trial; seats from $25 | Your admin, from the Sessions tab |
| Consultant or freelancer | An automation consultancy or freelancer you hire | No published Help Scout AI package; Osher says a basic n8n Help Scout integration (routing, CRM enrichment, Slack alerts) usually takes 3 to 5 days, involved ones 1 to 2 weeks (osher.com.au) | Freelancers $10 to $81 an hour on PeoplePerHour; Osher's business process audit "From $7,500 + GST" (Australian dollars) | You, after handoff, unless you buy more hours |
| Third-party AI agent | The vendor's product, set up by you or the vendor | eesel says setup takes minutes; DocsBot's guide is a self-serve OAuth and webhook setup | eesel from $299 a month; DocsBot from $149 a month | You, inside the vendor's dashboard; eesel's Enterprise tier adds "a dedicated person who looks after your setup" |
On the help desks with partner directories, agencies publish one-off AI setups at roughly $1,500 to $17,500, taking 10 days to 8 weeks, and cap help after launch: one Intercom partner gives 12 hours over 5 business days, a Gorgias agency sells retainers from $1,000 a month (our market study, October 14, 2026). Nobody publishes a Help Scout AI package, so treat those as the ceiling on what a scoped project might cost. Help Scout's own reseller guide tells partners that customers "get running in a day," with "no consultants or complicated implementation needed," which may be why we found no published Help Scout AI implementation packages.
What are the phases of a Help Scout AI implementation, with weeks?
This is the DIY route with AI Answers in Beacon. A consultant follows the same steps; a third-party agent swaps phases 3 and 4 for the vendor's own setup and test screens.
| Phase | Weeks | What happens | What you must provide |
|---|---|---|---|
| 1. Audit the queue | Week 1 | Pull 2 to 3 months of conversations, group them by question type, and mark which ones a Docs article could answer | Admin access, someone who knows the policies |
| 2. Fix the knowledge | Weeks 1 to 2 | Write or update Docs articles for the top question types, decide which Docs site and which website pages the agent may read | A Docs owner with a few hours a week |
| 3. Configure the AI Agent and Beacon | Week 2 | Create the agent under Tools > AI Agents, add sources, write Identity, set Guardrails, enable AI Answers on one Beacon, pick Neutral or Self Service mode, set the spending limit | The Beacon embed on the right pages |
| 4. Test in private | Week 2 | Run test conversations in the agent's Test tab, which Help Scout doesn't bill | 30 to 50 real customer questions to replay |
| 5. Launch on one Beacon | Week 3 | Turn it on where intent is clearest (help center, account pages), watch the Sessions tab daily | Someone to read sessions for 15 minutes a day |
| 6. Tune and expand | Weeks 3 to 8 | Add Improvements, fix Docs, add more Beacons, decide whether AI Drafts or a third-party agent should cover email | The same owner, weekly |
Which tests should you run before customers see it?
Use four kinds of test conversation in the Test tab, the same split we recommend in our pre-launch checklist:
- Normal case: your top 20 questions, phrased the way customers write them, not the way your Docs titles them.
- Escalation: billing disputes, angry messages, legal threats, and every topic on your Guardrails list. Check that the agent hands over instead of answering.
- Edge cases: questions your Docs answer only partly, outdated plan names, two questions in one message, a question in another language.
- Tone: check the Identity settings produce your voice. Help Scout notes that Identity can't add facts; new information goes in Improvements.
What happens after launch?
The work moves to the Beacon's Sessions tab. Filter for "Contact not helped" and "Human escalation," open each one, and check Attempted Sources to see which articles the agent looked at. Fix the article, or add an Improvement from the conversation (Help Scout now suggests improvements by checking the question against your Inbox). Website sources don't update themselves: after a pricing or policy change, someone has to resync the source by hand. This is the ongoing job, and on other help desks it's the part agencies leave out of their price or sell as a retainer. Decide who owns it before launch. Our pilot plan gives a 30-day go/no-go structure, and our post on why pilots get switched off covers what happens when nobody does.
Who does each job on each route?
| Job | DIY with Help Scout AI | Consultant or freelancer | Third-party AI agent |
|---|---|---|---|
| Audit past conversations | You | Consultant, if scoped | Vendor tool (eesel simulates on past conversations) or you |
| Write and fix Docs articles | You | Consultant, if scoped; usually you | You |
| Configure the agent, sources, Guardrails | You | Consultant | You, in the vendor's dashboard |
| Install and place Beacon | Your web or app developer | Consultant or your developer | Not needed for email-based agents |
| Pre-launch testing | You, in the Test tab | Consultant, then you sign off | You, with the vendor's test or simulation tools |
| Read sessions and fix misses after launch | You | You, after handoff | You; vendor help on higher tiers |
| Cover email | AI Drafts on Plus or Pro (drafts only) | Consultant can build an API workflow | The agent itself (eesel, DocsBot) |
What Help Scout-specific problems slow an implementation down?
Docs quality
AI Answers can only be as right as the content it reads. Help Scout's setup article calls a solid Docs foundation "the most important step to success." Common blockers: articles written for features rather than questions, old plan names, and policies that live in someone's head. Docs articles can be kept out of public view and shown only in Beacon and AI Answers if you don't want a public help center (setup article). Our Help Scout Docs guide covers structure.
Website and Google Doc sources
You can point the agent at a page, a whole site or a selection of pages, including PDFs, Word and Excel files. Help Scout recommends picking the pages with the best information over adding a whole website. Google Docs have to be added one at a time and shared with "anyone with the link," which makes each doc readable by anyone who has the link. And every website source needs a manual resync after it changes (AI Agents article).
Mailboxes and Inboxes
AI Drafts is switched on per Inbox, and the AI Draft link only appears once your account has about 100 conversation replies to index (AI Drafts article). A brand-new account won't get drafts at first. Plans include 2, 5 or 10 Inboxes (Standard, Plus, Pro), and third-party agents such as eesel let you pick which mailboxes and folders they handle, so map Inboxes to question types before you start.
Workflows
Workflows run before and around the AI: Standard has 150 basic workflows, Plus 500 advanced, Pro unlimited. If a workflow auto-replies, tags or reassigns new conversations, a third-party agent can collide with it (two auto-replies on one email). List every workflow that fires on new conversations and decide which one the AI replaces.
Beacon placement and mode
Self Service mode makes visitors interact with AI Answers before other contact options appear; Neutral shows AI Answers alongside email and chat. Self Service drives more AI sessions, and more billable resolutions, so start with Neutral on pages where customers are likely to need a person (checkout, billing), and Self Service on help center pages. Standard allows 5 Beacons, Plus and Pro unlimited, which makes per-page Beacons practical. Our Beacon guide covers modes and targeting.
Saved replies
Saved replies hold a lot of your real policy wording, but they aren't on the list of knowledge sources an AI Agent can use (Docs sites, websites and Improvements). eesel imports them, per its integration page. If you stay native, turn your most-used saved replies into Docs articles or Improvements.
Where do you find help with a Help Scout AI implementation?
Help Scout doesn't publish an implementation partner directory: helpscout.com/partners returned a 404 when we checked on October 14, 2026. Its partner program page has four tracks:
- Resellers: IT providers, MSPs and consultancies that resell Help Scout. The 2025 reseller guide invites them to "layer in onboarding, integrations, training and other services." It quotes one reseller, Triad Technology Partners, a US public-sector IT firm whose own site lists Help Scout under its partner spotlight.
- Customer referral: $100 per referred customer.
- Affiliates: 15% of each deal for 1 to 10 referred customers, 20% from 11, for 12 months, per the affiliate guide. Content creators and agencies join this one, so a "Help Scout partner" badge on a blog or agency site usually means a referral relationship, not a vetted implementer.
- Integrations: companies that build apps on the API.
Help Scout's own help is plan-gated: Pro includes a dedicated onboarding specialist and a strategic account manager, Plus can buy an onboarding specialist as an add-on (no price printed), and Pro can add a CSM.
Outside Help Scout, we could verify one consultancy that publishes Help Scout work: Osher Digital, an Australian automation firm that builds n8n workflows on the Help Scout API (routing, CRM lookups, Slack alerts) and says a basic integration usually takes 3 to 5 days. Freelancers are on PeoplePerHour at $10 to $81 an hour; Upwork, Fiverr and G2's consulting page blocked our checks. Our guides on who can set up AI customer support and hiring a freelancer for the setup have the vetting questions, a job-post template and red flags. For Help Scout, add three: ask how many AI Answers agents they've launched since the Compass changes, ask to see a Sessions-tab review they ran, and ask who resyncs your sources after they leave.
When do you need a consultant, or a different setup?
Hire a consultant or developer when you need:
- an API workflow that looks up data before a human replies (order status, account tier), since AI Answers can't connect to apps yet;
- a migration into Help Scout from another desk;
- a Docs rebuild of more than 50 articles that nobody on the team has time to write.
The native route suits teams whose deflectable volume arrives through Beacon, whose answers already live in Docs, and who have one person to read sessions each week.
A third-party agent fits when the volume you want handled is email, or answers depend on past conversations and saved replies more than on Docs.
Help Scout may be the wrong desk for this plan if you need an agent that takes actions (refunds, order changes) across email and chat today. That isn't on Help Scout's live channel list; see our Help Scout alternatives if it's a hard requirement.
Which route fits your situation?
| Your situation | Route | Why |
|---|---|---|
| SaaS team on Plus, most questions come in through the in-app widget | DIY AI Answers in Beacon | Docs and Beacon already exist; the cost is $0.75 per resolution and an owner's time |
| Long-time Help Scout customer, no AI yet, tight budget | DIY, Neutral mode, spending limit set | No trial for existing accounts, so cap spend from day one |
| Email-heavy team on Standard, no developer | Third-party agent (eesel or DocsBot) | AI Answers doesn't answer email; AI Drafts needs Plus |
| Team that wants drafts, not autonomous replies | AI Drafts on Plus or Pro, or DocsBot drafts | A human sends every reply |
| Ops team that needs CRM or order lookups in replies | Consultant building on the API | Compass app connections are still "coming soon" |
| Docs out of date, product changes weekly | Fix Docs first; consider Solo AI | Every AI route reads Docs |
| Also running one of Zendesk, Freshdesk, Gorgias, Front, HubSpot or Intercom for another brand or region | Macha's free support audit on that desk | Macha works there, not on Help Scout |
Other help desks Macha doesn't run on have their own guides: Zoho Desk, Kustomer and Gladly.
How we researched this
On October 14, 2026 we read Help Scout's pricing page (parsing the plan table cell by cell), its Agent and AI features pages, seven Help Scout docs articles on AI Answers, AI Agents, Improvements, AI resolution billing and AI Drafts (updated January 3 to October 6, 2026), the partner page and its reseller and affiliate guides, and the Help Scout app directory. For third-party tools we read each vendor's own Help Scout page and pricing page (eesel AI, DocsBot AI, Chatbase), plus Osher Digital's Help Scout page and PeoplePerHour's Help Scout freelancer search (24 profiles on page one). Cross-desk agency prices come from our October 14 market study. We didn't hire a consultant, and we didn't run AI Answers on a paid Help Scout account for this page; phase lengths are our estimate from the setup steps Help Scout documents. Macha doesn't run on Help Scout.
Common questions
Who can set up AI on Help Scout for me?
Your own admin can, using AI Answers and the AI Agents settings. For outside help there's no Help Scout implementation directory, so you'd hire a consultant such as an automation firm or a freelancer, use a reseller's onboarding services, or buy Pro, which includes a dedicated onboarding specialist.
Which AI support tools integrate with Help Scout?
Help Scout's own AI Answers and AI Drafts, plus third-party tools that claimed a Help Scout integration on their own sites on October 14, 2026: eesel AI (API, replies from your mailbox), DocsBot AI (OAuth app and webhooks, drafts) and Chatbase (escalation into Help Scout). Help Scout's MCP server lets other AI tools read your data but not reply.
Does Help Scout have implementation partners?
Not as a directory. Help Scout's partner program covers resellers, referral partners, affiliates and integration builders. Some resellers sell onboarding and training, but Help Scout doesn't list or certify implementers.
How long does a Help Scout AI implementation take?
By our estimate, about 1 to 2 weeks to a first live Beacon and 2 to 4 weeks to a tuned rollout on the DIY route, depending on how much Docs work you need. Tuning continues weekly after that.
How much does Help Scout AI cost to implement?
AI Answers costs $0.75 per resolution after a 3-month trial for new accounts; 400 resolutions a month is $300. Help Scout offers up to 33% off for prepaid resolutions. Third-party agents start at $149 (DocsBot) or $299 (eesel) a month, and freelancers charge $10 to $81 an hour.
Can Help Scout AI Answers reply to email?
Not yet. Help Scout's Agent page lists Website and In-app as live channels and email as "coming soon" (October 14, 2026). For email, use AI Drafts on Plus or Pro, or a third-party agent.
Does Macha work with Help Scout?
No. Macha runs on Zendesk, Freshdesk, Gorgias, Front, HubSpot or Intercom and has no Help Scout connector, so the options on this page are the ones to compare.
