What Hidden Costs and Minimums Come With AI Customer Support Pricing?
The hidden costs in AI customer support pricing are the charges that sit outside the per-resolution or per-ticket price on a vendor's page. Across the 32 vendors in our pricing index they fall into nine kinds: help desk seats you must buy first, platform and plan fees charged at any volume, one-time onboarding fees, minimum commitments, overage rates above the bundle price, units that expire, model usage billed on top, fees charged twice on the same ticket, and billing definitions that count more than resolutions. At 1,000 billable units a month, those extras lift HubSpot's $0.45 list price to $0.64 per resolution in the first year and Lorikeet's $0.99 to $3.09. We checked every figure below on the vendors' own pages on 24 and 25 September 2026. This page covers published fees only; the internal time to set up and maintain an AI agent is a real cost too, and the checklist at the end covers what to ask about it.

What does each vendor really cost per unit in year one?
List price and effective price diverge most where a fixed fee sits on a small volume. The table spreads every seat, plan fee and one-time fee across 12 months of 1,000 billable units, using the cheapest published billing term from the AI Customer Support Pricing Index. The monthly figures match our 1,000-tickets-a-month breakdown. HubSpot shows the method: $513 a month x 12 + $1,500 onboarding = $7,656, divided by 12,000 resolutions = $0.64.
Units differ by vendor. The last column converts per-attempt vendors, which bill tickets or conversations the AI doesn't resolve, to a price per resolution at a 50% resolution rate. Most per-resolution vendors don't change; Gladly adds $0.25 for each AI Assist, and Intercom counts handoff Procedures as outcomes.

The standalone agents (Lorikeet, Siena AI, Yuma AI, Macha, eesel AI) also need the help desk they run on, which isn't in these totals. Gorgias's total includes its $300 Pro help desk because the AI ticket fee lives there. Tidio's effective price sits below its headline because the index uses its annual plan, and Alhena AI's because its headline is the $1.20 overage rate while its Scale plan's included conversations work out to about $0.83 each. The chart shows 14 vendors. For most, the gap is seats and fixed fees; for Macha it's the tier step, and for Gorgias it's partly the $1.50 overage. eesel AI shows no gap at all.
Which platform fees are charged at zero volume?
Siena AI's page describes its fee as access to "Siena's core AI engine and unlimited sandbox for $750/month", charged before any ticket. Lorikeet's Start plan is $2,100 a month paid annually, "Best for SMBs and startups with under 5,000 monthly tickets", and its per-resolution charges come on top. eesel AI's per-ticket pricing has no platform fee, but its Enterprise plan adds "$1,000/month Flat platform fee on top of usage".
A fixed fee spread over a small queue is expensive. Lorikeet's Start plan works out to $3.79 a resolution at 750 a month. At 10,000 a month Lorikeet's page points to its Scale plan, where $5,100 plus 10,000 resolutions at $0.90 is $1.41 each.
How do overage rates change the bill?
A bundle price is a discount for predicting your volume correctly, and the overage rate is what you pay for guessing low. Double counting has an incentive too: when an AI-resolved ticket still pays the help desk ticket fee, the vendor keeps its help desk revenue however well the AI performs. Gorgias sells AI Agent bundles (30 interactions for $30 on Basic, 190 for $190 on Pro, each $0.90 on annual billing) and charges "$1.50 per automated interaction fee past your limit", 50% above the $1.00 in-bundle rate on monthly billing. Zendesk lists $1.50 per automated resolution on a committed volume and $2.00 pay-as-you-go in its pricing page's plan comparison table. HubSpot's pay-as-you-go credits run $0.010 against $0.009 on annual packs, which is $0.50 against $0.45 per resolution, and its capacity packs can be canceled only at the end of the contract term.
Yuma AI works the other way on annual plans: usage pauses at the end of the bundle instead of billing overage, and only its monthly plan bills $1.50 per over-quota ticket. Macha also has no overage: agents pause when the month's tickets run out, until the next billing date or until you move up a tier or buy a top-up. Macha doesn't publish a top-up price on its pricing page.
Why do vendors let units expire?
The incentive is that an expiring unit is revenue the vendor keeps when you have a quiet month. Freshdesk's session packs expire with the billing cycle they were bought in, Botpress's conversation packs expire monthly, and Chatbase's subscription credits reset on the 1st without carrying over. Chatbase's auto-recharge credits are the exception and don't expire. If your volume swings with the season, price the busiest month as overage and the quietest as waste, then compare.
Which AI costs are billed outside the unit price?
- Agent-assist seats. Freddy AI Copilot is $29 per agent a month on Freshdesk, and Front's Copilot is $20 per seat a month. They're billed per seat whatever the ticket volume.
- Voice and triage meters. Intercom sells Fin Voice through sales at $1.99 per voice outcome. Lorikeet bills voice at $1.50 per resolution on Start and meters triage and automated QA at $0.30 an action.
- Monthly billing premiums. Gorgias's Pro help desk plus AI bundle at 1,000 automated interactions is $1,686 a month on annual billing and $1,765 on monthly billing. Intercom's Essential seat is $29 annual and $39 monthly.
- Help desk overage on AI tickets. Gorgias's help desk charges $0.36 to $0.40 per ticket past the plan's limit, and AI-resolved tickets count toward it.
What do customers say about these costs?
Merchant reviews on the Gorgias Shopify App Store listing show how the fees land in practice. CALASWIM wrote on 23 June 2026 that "the price per ticket is too steep". Sheridan Buckle Co, ten months in, wrote on 15 April 2026 that after asking to change plans "They quoted us a huge plan" and "warned us of overages and the expensive overage charges", and that a mid-cycle upgrade would carry "a one time prorated charge". On the Tidio listing, Direct Discount Furniture & Mattress wrote on 21 May 2026 that "billable conversations, and included features are presented differently depending on where you look".
Buyers also negotiate these costs down. Vendr's Gorgias page quotes a buyer who got "2 free months of services to move from month to month to annual" and "20k additional tickets for no additional charge on a 12 month agreement". Vendr's HubSpot page says onboarding packages "are often negotiable". Buyers who commit for a year or more often pay less than the published list price.
Which minimum commitments should you check before signing?
- Intercom Fin on another help desk: "Minimum monthly commitment applies (e.g. 50 outcomes)", about $49.50 a month at $0.99. On Intercom's own help desk the minimum is one Full seat instead. The Fin pricing breakdown has both routes.
- Yuma AI: "Every plan carries a 12-month commitment", paid upfront, from $14,400 a year. Yuma calls its figures "illustrative annual prices" and sizes the bundle to your forecast.
- Lorikeet: annual billing on Start and Scale; Signature adds a $75K platform fee.
- Richpanel: "All subscriptions are on yearly contracts", and its calculator code sets a $200 monthly floor on AI conversations.

What should you ask a vendor about costs that aren't on the pricing page?
- What exactly is a billable unit? Ask whether escalated, reopened or abandoned conversations count, and whether one customer thread can bill twice.
- Who does the setup, and is it priced? HubSpot, Front and Lorikeet price onboarding or support packages; Yuma AI and Macha include setup.
- What happens at the limit? Overage at a premium, a pause, or an automatic upgrade.
- What can you cancel, and when? Annual contracts and packs cancellable only at term end lock in a year of spend.
- Does a bigger model cost more? Credit and token vendors pass model costs through; per-ticket and per-resolution vendors mostly don't.
Where does Macha sit on hidden costs?
Macha publishes the index. It has no seat, platform or onboarding fee, and setup and monitoring by the Macha team are included in the tier price. Billing is monthly with no annual contract. Two costs behave like hidden ones. The first is the tier step: each cap works out to $0.40 a ticket, but a month of 1,000 tickets pays the 1,500 tier's $599, or $0.60 a ticket, and 751 tickets pay the same $599. The second is the unit: Macha bills every ticket whether or not the AI resolves it, so at a 50% resolution rate that $599 is $1.20 per resolution. Macha fits teams already running Zendesk, Freshdesk, Gorgias, Front, HubSpot or Intercom whose monthly volume sits near a tier cap and who don't want a separate implementation contract.
