What Does AI Customer Support Cost for a Small Team at 500 Tickets a Month?
A small support team handling 500 tickets a month pays between $200 and $2,595 a month for an AI support agent at published list prices in 2026. That range includes the one seat or plan each vendor requires, and the median across the 17 vendors that publish a comparable price is $499. The cheapest are eesel AI at $200 plus your help desk, Freshworks at $264, Richpanel at $269 (medium confidence) and HubSpot at $288 plus a one-time $1,500. The most expensive are the vendors with platform fees, led by Lorikeet at $2,595. At this volume a fixed fee matters more than the unit price, and a few vendors' free allowances cover a real share of the month.
Key takeaways
- At 500 billable units a month, 17 AI support agents cost $200 to $2,595 including one required seat or plan, with a median of $499 at published list prices.
- Freshdesk's 500 free Freddy AI Agent sessions are a one-time allowance per account, so they cover a 500-ticket team's first month only, then cost $245 a month.
- Macha costs $299 a month at 500 tickets because the volume falls on its 750-ticket tier, which is $0.60 per ticket used.
- For a three-agent team whose AI resolves 250 of 500 tickets, Help Scout's AI Answers costs $187.50 a month and Zendesk's AI agents $352.50, before seats.
How much does each AI support agent cost at 500 a month?
We checked each vendor's own page on 24 and 25 September 2026 and priced the cheapest published way to buy 500 of its billable units, plus the one seat or plan you can't skip. The method matches the AI Customer Support Pricing Index, which prices the same vendors at 750 to 10,000.
| Vendor | Unit billed | How 500 is priced | Total at 500 |
|---|---|---|---|
| eesel AI | Ticket | 500 x $0.40 | $200 plus your help desk |
| Freshworks | Session | $19 seat + 5 packs of 100 at $49 | $264 |
| Richpanel (medium confidence) | Handled conversation | $69 seat + $200 AI minimum, yearly contract | $269 |
| HubSpot | Resolution | $90 seat + 22 credit packs at $9 | $288 plus $1,500 once |
| Tidio | Conversation | 500 tier, $350 monthly or $291.67 annual | $291.67 |
| Macha | Ticket | 750-ticket tier | $299 plus your help desk |
| Botpress | Conversation | Plus $150 (250 included) + 3 packs at $65 | $345 |
| Help Scout | Resolution | $25 seat + 500 x $0.75 | $400 |
| Alhena AI | Conversation credit | Growth plan, 550 included | $499 |
| Intercom | Outcome | $29 seat + 500 x $0.99 | $524 |
| Zendesk (medium confidence) | Resolution | $55 seat + 495 x $1.50 | $797.50 |
| Gorgias | Resolution plus ticket fee | Basic annual: $50 + $80 ticket overage + $27 bundle + 470 x $1.50 | $862 |
| Gladly (medium confidence) | Resolution | $120 member + 500 x $1.50 (spending cap raised above the $250 starter cap) | $870 |
| Salesforce (existing Conversations customers) | Conversation | $195 user + 500 x $2.00 | $1,195 |
| Siena AI | Ticket | $750 platform + 500 x $0.90 | $1,200 plus your help desk |
| Yuma AI | Resolution | $14,400 Starter bundle / 12, paid upfront | $1,200 plus your help desk |
| Lorikeet | Resolution | $2,100 plan + 500 x $0.99, paid annually | $2,595 plus your help desk |
The median is Alhena AI's $499, the ninth of 17. A few rows need a note:
- Gorgias: the cheapest route at 500 is its Basic help desk on annual billing; its Pro plan would cost $936, and Basic on monthly billing $875.
- Intercom: the total uses its normal $29 Essential seat; Intercom has also shown some visitors a $19 price in a live test, which would make it $514.
- Zendesk: $797.50 uses the $1.50 committed rate, which means buying a committed volume; on pay-as-you-go at $2.00 a resolution it's $1,045. It carries medium confidence because its pricing page lists five included resolutions per agent while its help center describes a dollar allowance per seat.
- Botpress: the Plus plan includes $25 of LLM usage ($0.10 for each of its 250 conversations); usage above that is billed on top, and the page doesn't say whether extra packs carry the same allowance.
- Alhena AI: it bills conversations its AI "resolves or assists", and its plans also bundle AI-visibility features, so part of the fee isn't support.
- Salesforce: the $2 option is for existing customers only; without it, the median of the other 16 is $449.50.
What does a three-agent team pay if the AI resolves half?
The table above counts 500 of each vendor's unit, which overstates per-resolution vendors: few teams see 500 resolutions from 500 tickets. Take three agents, 500 tickets and an AI that resolves 250 of them. This compares the AI charge, with each help desk's own cost beside it.
| AI option | What's billed | AI charge a month | Help desk cost (3 agents) |
|---|---|---|---|
| HubSpot Breeze | 250 resolutions (9,500 credits after 3,000 included) | $90 | $270 on Professional, plus $1,500 once |
| Help Scout AI Answers | 250 resolutions (chat only) | $187.50 | $75 on Standard |
| eesel AI | 500 tickets | $200 | Your existing help desk |
| Freshdesk Freddy | 500 sessions | $245 | $57 on Growth |
| Intercom Fin | 250 outcomes | $247.50 | $87 on Essential |
| Macha | 500 tickets on the 750 tier | $299 | Your existing help desk |
| Zendesk AI agents | 235 resolutions after 15 included | $352.50 committed ($470 pay-as-you-go) | $165 on Suite Team |
| Gorgias AI Agent | 250 automated interactions (Basic annual) | $357 | $130 (Basic annual, 500 tickets; Gorgias bills tickets, not seats) |
At a 50% resolution rate, the per-resolution vendors halve and the per-ticket ones don't move. HubSpot is cheapest on the AI line but needs Professional seats at $90 each, which makes its three-agent total $360 a month plus onboarding. Help Scout's resolution is an AI chat session, so it only covers the chat share of your 500 tickets. Intercom also bills Fin Procedures that end in a handoff, so treat its line as a floor. Gorgias bills its ticket fee on every ticket and its automation fee on top for the ones AI Agent resolves.
Is AI support worth it at 500 tickets a month?
Compare the AI line with what a human-handled ticket costs. Zendesk's own cost per resolution guide works an illustrative example of $250,000 in monthly support costs over 50,000 verified resolutions, which is $5.00 each. Unthread's compilation of benchmarks puts email support at $8 to $15 a ticket. Neither is a list price. At Zendesk's $5 to Unthread's $8 a ticket, the 250 tickets an AI resolves in the example above represent $1,250 to $2,000 of human handling a month, against AI charges of $90 to $357.
For a three-person team that figure is mostly time, not cash, because the agents are salaried whether or not the AI helps. The saving shows up as hours freed or a hire you don't make. At an assumed 8 minutes of handling per ticket, 250 resolved tickets is about 33 hours a month, about four-fifths of a 40-hour week for one of the three agents. Whether that's worth $90 to $357 depends on what those hours go to instead.
The list price isn't the whole cost at this size. Someone has to write or connect the knowledge the agent answers from, set the rules for when it hands over, and review what it sends. Vendors differ on who does that: Siena AI sells support and implementation alongside its platform fee, HubSpot requires a paid onboarding, Yuma AI says it charges no implementation fee, and Macha includes setup and monitoring by its team. A small team with no one free for that work should weigh it as heavily as the monthly price.
What resolution rates do merchants report?
Merchants reviewing AI agents on the Shopify App Store in 2026 give a sense of the resolution rates to plan around, from one-person shops to larger brands. Moonchild Skunkworx, which describes itself as "a one-man brand", wrote that Tidio's AI agent lets it "provide exceptional customer support without spending much time on it" (24 August 2026). Happy Hygge Gifts wrote that its "AI resolution rate is around 90%" with Tidio's Lyro and Flows (16 September 2026). Merchants on Yuma AI, which prices for larger queues, reported lower, slower numbers: Tediber at 30% of tickets closed without a human (20 March 2026) and MESHKI US at 35% "in less than 6 months" (11 February 2026). The reviews are on the Tidio listing, rated 4.8 from 1,342 reviews, and the Yuma AI listing, rated 5.0 from 9, as of 25 September 2026.
At 90%, Tidio's 500 tier on annual billing ($0.58 a conversation) works out to $0.65 per resolution. At 30%, a per-resolution vendor's line in the three-agent table falls by 40% to 50%, while a per-ticket vendor's stays put. Not every small buyer found the billing clear: Direct Discount Furniture & Mattress wrote that Tidio's "plans, billable conversations, and included features are presented differently depending on where you look" (21 May 2026).
What changes just above or below 500 tickets?
Tier edges matter at this size. Tidio's self-serve tiers jump from 500 to 750 conversations, so 501 conversations a month costs the 750 tier's $525 on monthly billing. Macha's 750-ticket tier has room from 501 to 750 at the same $299. Per-resolution and per-ticket vendors without tiers, such as Help Scout and eesel AI, scale in a straight line. Below 500, at 100 to 300 tickets, free allowances cover more of the month (HubSpot's 60 resolutions, Zendesk's five per agent), and fixed floors such as Richpanel's $200 AI minimum and Macha's $299 tier make up most of the bill.
Which free allowances matter at 500 tickets?
At this volume, a free allowance can be a large share of the month:
- Freshdesk includes the first 500 Freddy AI Agent sessions, once per account. That's a full month at 500 tickets, then $49 per 100.
- HubSpot includes 3,000 credits a month on Service Hub Professional, which is 60 resolutions every month.
- Zendesk lists five automated resolutions per agent a month on Suite Team, 15 for a three-agent team. Its help center has described the allowance as a dollar amount ($2 per Suite Team seat a month) since 18 May 2026, so check which your account shows.
- Help Scout gives customers new to Help Scout a 3-month free trial of AI Answers.
- eesel AI and Macha both start with $50 of free usage, which is about 125 tickets at $0.40, with no credit card.
- Alhena AI and Botpress each have a free plan with 25 conversations a month.
Why do fixed fees matter more at 500 tickets?
A seat, plan or platform fee is spread over fewer tickets when volume is small. Lorikeet's $2,100 plan fee is $4.20 per ticket at 500 before any resolution charge, and Siena AI's $750 platform fee is $1.50. Both vendors say whom they price for: Lorikeet's Start plan is "Best for SMBs and startups with under 5,000 monthly tickets", and it's billed annually, so the plan fee alone is $25,200 a year. Bucket pricing adds a smaller version of the same cost: Macha's 750-ticket tier is $0.40 a ticket when full and $0.60 at 500.
Commitments bite harder for small teams too. Yuma AI's Starter bundle is $14,400 paid upfront for about 12,000 resolutions a year, and a team resolving 250 a month uses 3,000 of them. Richpanel's plans are on yearly contracts. A vendor with a platform fee or minimum has priced in a floor that covers its cost of serving you whatever your volume, and at 500 tickets that floor is often most of the bill. A per-resolution vendor without a floor has the opposite incentive: it earns only when its AI closes a ticket, so it charges more for each one.
What about tools that bill per reply or per token?
Vendors that bill smaller units can be cheaper still. Chatbase comes to $80 for 500 three-reply conversations on its Hobby plan plus one 1,000-credit recharge, Microsoft Copilot Studio to $40 at Microsoft's 8-credit example plus an Azure subscription, and Zoho Desk's Zia Agents to one $7 Express user if the month stays inside 30 million free tokens. None publishes a per-conversation price, so none is in the ranked table. The cheapest AI support agent ranking explains why.
Which option fits a 500-ticket team?
A team already on HubSpot Professional, Help Scout or Freshdesk gets the lowest AI line from its own help desk. A team on another desk that wants the AI to work every ticket pays $200 (eesel AI) or $299 (Macha) with no seat added. Macha publishes the index; at 500 tickets it's on its smallest tier, and setup and monitoring by the Macha team are included, so it fits teams of this size on Zendesk, Freshdesk, Gorgias, Front, HubSpot or Intercom with no one free to build the agents. The 1,000-tickets-a-month breakdown shows how the ranking moves as the team grows.
What should a small team ask before signing?
- Does the agent work the channel your tickets arrive in? Help Scout's AI Answers covers chat only; confirm email coverage with any vendor sold mainly as a chat widget.
- Is the free allowance monthly or one-time? Freshdesk's 500 sessions are once per account; HubSpot's 3,000 credits renew monthly.
- Is there a contract term or upfront payment? Yuma AI and Lorikeet bill annually; Richpanel is on yearly contracts; Macha and eesel AI bill monthly.
- What happens at the tier edge? Tidio moves you up a tier; Macha pauses agents until you top up or move up.
- Who does the setup? Paid onboarding (HubSpot), included (Macha), no implementation fee (Yuma AI) or your own time.
