What Does HubSpot's Customer Agent Cost to Implement and Run? (2026)
HubSpot AI implementation cost comes in two parts, setup and HubSpot's credit meter, and customer agent itself has no setup fee. It costs $0.50 per resolved conversation, paid as 50 HubSpot Credits, on top of a Professional or Enterprise edition, so at 1,500 conversations a month with 30% resolved, the credit bill is about $195 a month after Professional's 3,000 included credits. Paying someone to set it up costs nothing if your admin does it, $2,000 at RevPartners as part of a Service Hub launch, or from $2,500 at Bluleadz for the agent alone (SmartBug prices custom Breeze agents from $1,500), and nothing extra from vendors that include setup. Our year-one estimates at 1,500 conversations a month run from about $9,300 to $45,400, and most of the spread is who tunes the agent after launch.
Key takeaways
- HubSpot's customer agent costs $0.50 per resolved conversation, paid as 50 HubSpot Credits, and Service Hub Professional includes 3,000 credits a month, about 60 resolutions.
- At 1,500 conversations a month with 30% resolved, HubSpot's customer agent uses 22,500 credits, or about $195 a month in extra credits at $10 per 1,000.
- Bluleadz sets up HubSpot's customer agent from $2,500 with 30 days of tuning and sells AI managed support from $2,000 a month, prices read on October 14, 2026.
- HubSpot Solutions Partners may waive HubSpot's required Service Hub onboarding fee, $1,500 on Professional and $3,500 on Enterprise, at their discretion, up to a $6,000 value per client.
- Macha sets up and tunes its own agent on HubSpot tickets with no setup fee, from $299/month for 750 tickets, with a dedicated success manager included.
Disclosure: Macha publishes this blog and sells one of the vendor-led options priced below. Every outside price links to its source, read on October 14, 2026 unless another date is given, and every estimate is labeled as ours, with the arithmetic shown. This page covers the AI agent's cost only; a full CRM implementation across several hubs is a different, larger project. What does HubSpot's customer agent cost to run at 500, 1,500 and 5,000 conversations?
Customer agent bills per resolved conversation, not per conversation. HubSpot's product catalog lists 50 credits to "resolve one conversation (text-based channels)", extra credits at $10 per capacity pack of 1,000 or $0.010 each pay-as-you-go, and 500, 3,000 or 5,000 included credits a month on Starter, Professional and Enterprise. Professional's 3,000 cover about 60 resolutions. HubSpot's customer agent performance article (read October 14, 2026) counts a resolution when the agent answers from a content source or performs an action and no qualifying handoff follows within 72 hours. A ticket a workflow later assigns to a person can still count as resolved, so some billed resolutions end with a human.
Assumptions (ours): Service Hub Professional, all 3,000 included credits go to customer agent, text channels only, and 30% or 50% of conversations resolved. HubSpot's Service Hub pricing page claimed "65%+ of conversations resolved automatically" when we read it on October 14, 2026; we use lower rates because a vendor's average across willing customers isn't your first quarter.
| Conversations a month | Resolved at 30% | Extra credits at 30% (cost) | Resolved at 50% | Extra credits at 50% (cost) |
|---|---|---|---|---|
| 500 | 150 (7,500 credits) | 4,500 ($45) | 250 (12,500 credits) | 9,500 ($95) |
| 1,500 | 450 (22,500 credits) | 19,500 ($195) | 750 (37,500 credits) | 34,500 ($345) |
| 5,000 | 1,500 (75,000 credits) | 72,000 ($720) | 2,500 (125,000 credits) | 122,000 ($1,220) |
The middle row at 50%: 750 x 50 = 37,500 credits, less 3,000 included, is 34,500 credits at $10 per 1,000, or $345 a month. That's $0.46 per resolution once the included credits are counted. On Enterprise, 5,000 credits are included, so each row is $20 lower. On annual billing, our customer agent guide found packs at $9 per 1,000 (October 5, 2026), about 10% less.
By the standards of native AI meters, this one is cheap. Our cross-desk cost guide puts HubSpot's per-resolution price at half or less of Zendesk's, Fin's or Gorgias's. The bigger cost is the person who reads what the agent got wrong each week.
How do HubSpot Credits behave when they run out?
Four rules from HubSpot's credits and billing article (updated September 9, 2026) change the budget more than the unit price does.
- Included credits expire monthly. Unused credits "do not roll over to the next month", so a quiet month doesn't bank anything for Black Friday.
- Without packs, the agent stops. When the included credits are gone and you haven't bought more, usage-based features pause until the reset date. A support team usually finds out from customers.
- Auto-upgrade keeps the higher pack. If you buy packs with auto-upgrades on, a busy month upgrades the account to a higher capacity pack "for the remainder of your contract". Pay-as-you-go overages instead go back to your original limit on the reset date. One peak month can raise the credit line for the rest of an annual term.
- You can cap spend per tool. HubSpot lets you set a maximum monthly credit limit for the account and for individual tools, and it alerts Super Admins and billing contacts at 75%, 85% and 90% of usage.
Credits are one pool. Customer agent, custom agents built in agent builder, and AI steps in workflows all draw from it; a Data Agent classification in a workflow uses 10 credits, per our HubSpot routing guide. If marketing runs AI workflows on the same account, set a per-tool limit for customer agent so support's budget isn't spent elsewhere first.
Which HubSpot editions and seats do you need?
Customer agent needs a Professional or Enterprise edition of one of seven hubs, an assigned seat and customer agent editor permissions, per HubSpot's setup article (as covered in our implementation guide). For support teams, that usually means Service Hub Professional, because the help desk workspace sits there too.
| Edition | Seat price (annual, monthly) | Required one-time onboarding | Credits included each month | Customer agent |
|---|---|---|---|---|
| Starter | $7 a seat ($20 monthly) | None | 500 | Not available |
| Professional | $90 a seat ($100 monthly) | $1,500 | 3,000 | Available |
| Enterprise | $150 a seat | $3,500 | 5,000 | Available |
Seat and onboarding prices come from our Service Hub pricing breakdown, read from HubSpot's US page on September 24, 2026; HubSpot's pricing page served our browser rupees on October 14, so we couldn't re-read the dollar figures that day. Credit counts are from HubSpot's product catalog, read October 14.
If your team is on Starter, the edition is the biggest line in the AI budget. For 5 seats, moving from Starter to Professional costs (90 - 7) x 5 x 12 = $4,980 a year in seats, plus the $1,500 onboarding fee, or $6,480 in year one before a single credit. The onboarding fee is negotiable through a partner: HubSpot's Solutions Partner program lets partners "waive onboarding fees for your clients (up to $6,000 value per client)", and INSIDEA's pricing page says HubSpot's fee "can often be waived" when it delivers onboarding. Both are discretionary: a partner may tie the waiver to the size of your contract. Ask any partner quoting a Service Hub build whether its price replaces HubSpot's fee.
A third-party agent working tickets through HubSpot's API isn't bound by customer agent's edition gate, but each vendor sets its own requirements. Intercom's Fin for HubSpot Tickets setup article (checked October 14, 2026) requires Service Hub Professional and a support seat to represent Fin. Ask every vendor which edition and seats it needs before you price it.
What does setup cost by route?
| Route | Setup price | Time to live | What's included | What's left out | Source (read October 14, 2026) |
|---|---|---|---|---|---|
| Your admin, customer agent | $0 | No timeline published; 14 days of free access once you opt in | HubSpot's knowledge base articles and preview; HubSpot says preview and testing don't use credits | All configuration; HubSpot's Service Hub onboarding lists no customer agent topic | Our implementation guide |
| Freelancer | Upwork's guide: $15 to $40 an hour, showcased profiles $20 to $75; a PeoplePerHour "AI Integration" offer at $170 | Days | One bounded job, such as cleaning up articles or configuring the agent | Tuning after handoff | Our partners list |
| RevPartners, Service Hub launch | $2,000 (14 days); $3,250 with onboarding (30 days) | 14 or 30 days | Help desk pipeline, routing, inbox, dashboard; one line item is the knowledge base or a "foundational customer agent setup"; 3 training hours | Ongoing tuning; credits ("using your included account credits") | RevPartners |
| Bluleadz, native agent | From $2,500 | Not published | Data audits, knowledge sources, guardrails, routing workflows and 30 days of tuning | Tuning after day 30, unless you buy managed support | Bluleadz pricing |
| Bluleadz, custom agent | From $4,000 | Not published | Agent builder builds for "complex processes native agents can't cover" | Not stated | Bluleadz pricing |
| SmartBug, custom Breeze agent | From $1,500 per agent | Not published | A custom agent built on Breeze, with sign-off gates | Monthly optimization, priced on request | Our partners list |
| INSIDEA, AI work | Discovery sprint from $2,000; production agent scoped | 2-week sprint; 60 to 90-day build | 60 days of post-launch support on a production agent | Managed AI operations, from $2,000 a month | Our partners list |
| Vendor-led, Fini | "Implementation Included" | "Goes live in 14 days" | Setup inside the Growth plan | The plan fee isn't printed on the cards (our Fini breakdown) | Fini pricing |
| Vendor-led, Macha (ours) | No setup fee | Safe mode within 7 days | Ticket analysis, knowledge base, agent build, testing and tuning by Macha's team | Nothing extra; the free trial includes the same setup | Macha pricing |
The cheapest priced partner package, RevPartners at $2,000, is a help desk launch with customer agent as one optional line, so a team that already runs Service Hub pays for pipelines and dashboards it has. And the partners that price AI work separately, Bluleadz and INSIDEA, also price what happens after it, from $2,000 a month, which tells you where they expect the work to be.
What does it cost after launch?
Customer agent improves when someone changes its sources and guidelines. That person reads its conversations each week, fixes the article or guideline behind each miss, checks billed resolutions against tickets that stayed closed, and decides the next topic. On HubSpot, an email reply after 72 hours reopens the conversation and can use credits again, so email-heavy queues need that check more than chat queues.
| After-launch model | Published price (October 14, 2026) | What you get |
|---|---|---|
| Your own admin | No invoice; our estimate is 2 to 4 hours a week | Your admin reads conversations, edits guidelines and sources, and watches the credit alerts |
| Partner's included support | 30 days of tuning at Bluleadz; 30 days post-launch on INSIDEA onboarding, 60 days on its production AI builds; 3 training hours at RevPartners | Help that ends on a date |
| Partner retainer | AI Managed Support from $2,000 a month (Bluleadz), managed AI operations from $2,000 a month (INSIDEA), HubDesk admin plans at $1,250, $1,750 or $2,750 a month (Campaign Creators) | Tuning and credit monitoring within the plan's scope |
| Vendor-led | Inside the monthly price: implementation and shared customer success at Fini; setup and a dedicated success manager at Macha | The vendor's team handles changes; you approve them |
Each seller's business model explains the table. HubSpot earns 50 credits each time the agent closes a conversation, so its tools push resolutions up and leave the misses to you. A partner earns on projects and retainers, so post-launch work ends on a date or becomes a monthly line. A vendor billing monthly loses the account if the agent drifts, so tuning is part of what it sells. Our hidden costs of AI support pricing post covers the same pattern on other desks.
What does year one cost per route at 1,500 conversations a month?
This is our estimate for one B2B or ecommerce team already on Service Hub Professional with 1,500 conversations a month. Every assumption is listed, so you can swap in your own.
Assumptions (ours, except where a source is named):
- The team already pays for Service Hub Professional seats and its onboarding, so seats and the $1,500 fee are the same on every route and left out. If you're upgrading from Starter, add the $6,480 from the edition section to the customer agent rows.
- Customer agent resolves 30% of conversations, 450 a month: 19,500 extra credits at $10 per 1,000, so $195 a month, or $2,340 a year. At 50%, it would be $345 a month, or $4,140 a year.
- Your team's time is valued at $40 an hour.
- Where your team owns tuning, it takes 3 hours a week from about week 4 to week 52 (48 weeks). Where a package includes tuning, your weeks start when it ends, counted from kickoff: assuming a 4-week build (ours; Bluleadz publishes no timeline), its 30 days of tuning run to about week 8, which leaves 44 weeks. Where a retainer or vendor owns tuning, your part is 1 hour a week of review and decisions, from launch: week 4 on the partner row (48 weeks), week 2 on the vendor rows (50 weeks), since those reach safe mode within the first week or two.
- The freelancer works 20 hours at $40 an hour, within Upwork's showcased range.
- When a vendor's agent answers, customer agent is off, so there's no credit line on those rows.
- Macha: the agent works all 1,500 tickets, drafting or replying, so the 1,500-ticket tier applies ($599/month for 1,500 tickets).
| Route | Setup cash | Software in year one | Your team's time (hours x $40) | Year-one total |
|---|---|---|---|---|
| Your admin, customer agent | $0 | Credits $2,340 | 30 setup + 144 tuning (48 weeks) = 174 h, $6,960 | $9,300 |
| Freelancer, 20 hours | $800 | Credits $2,340 | 10 setup + 144 tuning = 154 h, $6,160 | $9,300 |
| RevPartners, Service Hub launch (Customer Support package) | $2,000 | Credits $2,340 | 15 setup + 144 tuning = 159 h, $6,360 | $10,700 |
| Bluleadz native agent, you tune after day 30 | $2,500 | Credits $2,340 | 15 setup + 132 tuning (44 weeks) = 147 h, $5,880 | $10,720 |
| Bluleadz native agent plus AI Managed Support | $2,500 + 11 x $2,000 = $24,500 | Credits $2,340 | 15 setup + 48 review = 63 h, $2,520 | $29,360 |
| Fini Growth | $0 | 12 x $3,600 = $43,200 (plan fee from its page data) | 5 setup + 50 review = 55 h, $2,200 | $45,400 |
| Macha (ours) | $0 | 12 x $599 = $7,188 | 2 setup + 50 review = 52 h, $2,080 | $9,268 |
On cash alone, customer agent is the cheapest route by far: $2,340 in credits against Macha's $7,188. The totals meet because of the 174 hours. If your HubSpot admin has 3 spare hours a week and your answers live in the knowledge base, customer agent run in-house is the sound choice. If those hours would come from a new hire or from the people answering tickets, the vendor-led row costs about the same and moves the work off your team. The retainer row is the most expensive way to run a cheap meter, because $22,000 of partner time sits on top of $2,340 of credits. Fini's Growth plan is $3,000 a month billed yearly, or $36,000 instead of $43,200.
The rows don't buy the same work. Customer agent closes the 450 conversations it resolves and leaves the other 1,050 to your team, while Macha's tier covers drafting or replying on all 1,500; nothing in the table prices the human time on the conversations customer agent hands back. The rows also move with the resolution rate. At 50%, the customer agent rows rise by $1,800 a year; at 65%, by about $3,150. Macha's tier doesn't change with the rate, because it bills per ticket worked.
What changes the price on HubSpot?
| Factor | Why it changes the cost | Price signal (October 14, 2026 unless noted) |
|---|---|---|
| Edition | Customer agent isn't on Starter | $6,480 in year one to move 5 seats to Professional, before credits |
| Email share | A reply after 72 hours reopens the conversation and can be billed again | Higher credits per real issue on email-heavy queues |
| Voice | Customer agent calls are metered separately | 50 credits, or $0.50, a minute (HubSpot product catalog) |
| Shared credits | Workflows and custom agents spend the same pool | 10 credits per Data Agent classification |
| Answers that need a live lookup | Order, billing or account data outside HubSpot needs actions or a custom agent | Bluleadz's custom agent tier starts at $4,000, against $2,500 for the native agent |
| A first Service Hub build or a migration | Pipelines, routing and data come before AI | RevPartners $2,000 to $3,250; INSIDEA onboarding $2,000 on Professional, $4,000 on Enterprise |
| Annual credit packs with auto-upgrade | A peak month can raise the pack for the rest of the contract | Pay-as-you-go overages reset monthly |
Order and billing questions catch HubSpot teams out most often. Customer agent answers well from articles and CRM properties, but "where is my order" or "why was I charged twice" needs Shopify or Stripe data, and that's custom agent work at a partner. Our HubSpot Shopify order status guide covers the options. On Macha, Shopify and Stripe are built-in tools, and anything else with an API connects through a custom API tool that Macha's team sets up during onboarding, at no extra charge.
How can you cut the cost of a HubSpot AI implementation?
- Use the 14 days on live traffic. Build and preview first, since preview doesn't use credits, then opt in to the free access so the 14 days measure real conversations, not your setup.
- Set a per-tool credit limit before launch. It stops marketing's workflows from spending support's credits, and it turns a surprise pause into a planned one.
- Choose pay-as-you-go overages if your volume is seasonal. Auto-upgrade keeps a peak month's pack for the rest of the contract; overages reset monthly.
- Ask the partner to waive HubSpot's onboarding fee. Partners may waive up to $6,000 per client at their discretion, which can cover the $1,500 Professional or $3,500 Enterprise fee.
- Don't buy a help desk launch you already have. If Service Hub already runs, price the AI work alone: Bluleadz's native agent setup, not a full launch package.
- Start with the questions your articles already answer. Every article fixed before launch is a miss you don't pay someone to read later.
- Try a vendor's setup before paying for one. Macha's free trial is $50 of free usage (about 125 tickets), no credit card, no time limit, with the same done-for-you setup, so you can see drafts on your own HubSpot tickets first.
Which route costs least for your situation?
| You are | Lowest-cost route | Why |
|---|---|---|
| A Service Hub Professional team with good articles and an admin who has 3 hours a week | Your admin, customer agent | Credits run about $45 to $345 a month up to 1,500 conversations |
| A Service Hub Professional team with nobody to tune the agent | Vendor-led | Tuning is inside the price; your part is about an hour a week |
| A Service Hub Starter team | Price the upgrade first | $6,480 in year one for 5 seats before credits; ask a vendor agent what edition it needs |
| A team that wants customer agent but not the work | Bluleadz's $2,500 setup, then decide on the $2,000 retainer at day 30 | You see the agent working before committing to monthly fees |
| A team new to Service Hub | A partner for the build, with HubSpot's onboarding fee waived | Pipelines and routing come first; the waiver can cover the fee |
| A team whose answers need order or billing data | Vendor-led, or a partner's custom agent | Native customer agent answers from content and CRM records |
| A team at 5,000 conversations a month, mostly chat | Customer agent, with a credit limit set | $720 to $1,220 a month in credits at 30% to 50% resolved |
| A team on several hubs where marketing runs AI workflows | Customer agent with per-tool limits, or a vendor agent outside the credit pool | Shared credits run out without warning to support |
Where Macha fits
Macha, our product, is the vendor-led option that sits outside HubSpot's credit pool. Its team looks at about a month of your past HubSpot tickets, picks the first category, fills the article gaps for it, and writes the agent's instructions from the way your team already answers, then tests on past tickets. On live tickets the agent first drafts replies as private notes; once those are right, it replies to customers, sets owner and priority, and moves tickets through your pipeline. Live in safe mode within 7 days, or your first month is free. Your part is a 30-minute call, about 15 minutes to connect HubSpot and the tools answers come from, and about 5 minutes a day reviewing drafts.
It costs about $0.40 per ticket, which includes setup and a dedicated success manager who handles new categories, policy changes and new tools, on one plan priced by monthly ticket volume. There's no setup fee and no retainer, because the done-for-you setup and the tuning are the product, and it doesn't draw on your HubSpot Credits. Macha suits teams on HubSpot that want tickets worked end to end, including the lookups and property updates that never count as a clean resolution, without an admin's weekly hours. It doesn't replace a Solutions Partner for a Service Hub build, a migration or CRM work, and if your admin wants to own every guideline and your answers live in articles, customer agent is cheaper in cash. See Macha on HubSpot, or request the free support audit to see which category to start with.
Common questions
How much does it cost to implement HubSpot's customer agent?
There's no HubSpot setup fee for customer agent. Running it costs $0.50 per resolved conversation in credits, above 3,000 included credits a month on Professional. Published setup prices on October 14, 2026 were $0 if your admin does it, $2,000 for RevPartners' help desk launch with customer agent as an option, and from $2,500 at Bluleadz with 30 days of tuning.
How many HubSpot Credits does customer agent use a month?
50 credits per resolved conversation. At 1,500 conversations a month, that's 22,500 credits at 30% resolved and 37,500 at 50%. Professional includes 3,000 credits a month, so you buy the rest at $10 per 1,000, or $0.010 per credit pay-as-you-go.
What happens when HubSpot Credits run out?
Unless you've bought capacity packs or turned on overages, usage-based features pause until your monthly reset date. Unused credits don't roll over. You can set a maximum monthly limit for the account and for each tool, and HubSpot alerts admins at 75%, 85% and 90% of usage.
Can a HubSpot partner waive the onboarding fee?
Often, at the partner's discretion. HubSpot's Solutions Partner program lets partners waive onboarding fees for their clients up to a $6,000 value per client, which would cover the $1,500 Professional or $3,500 Enterprise fee, and INSIDEA says the fee "can often be waived" when it delivers onboarding. Ask before signing whether the partner's quote replaces HubSpot's onboarding.
Who pays for tuning customer agent after launch?
On the DIY and freelancer routes, your admin does. Partners include a fixed window, such as 30 days at Bluleadz, then sell managed support from $2,000 a month at Bluleadz and INSIDEA. Vendor-led options such as Fini and Macha include tuning in the monthly price.
Is customer agent cheaper than a third-party agent on HubSpot?
In cash, usually yes: about $195 a month in credits at 1,500 conversations and 30% resolved, against $599/month for 1,500 tickets at Macha. Counting 3 hours a week of your admin's time at $40 an hour, our year-one estimates come out about level at $9,300 and $9,268, though customer agent's figure covers only the conversations it resolves and Macha's covers drafting or replying on every ticket. Our HubSpot Breeze alternatives post compares self-serve agents.
How we researched this
On October 14, 2026 we checked HubSpot's product and services catalog (credit prices, included credits, customer agent's 50 credits per resolution), its credits and billing article, its Solutions Partner program page, the pricing pages of Bluleadz and INSIDEA, and the raw HTML of Fini's pricing page, including the structured data that holds its Growth plan fee. HubSpot's pricing page served our browser rupees, so seat and onboarding prices in dollars come from our Service Hub pricing breakdown, read September 24, 2026, and the annual credit rate and voice price from our customer agent guide, read October 5. RevPartners, SmartBug, INSIDEA's AI pricing, Campaign Creators and the freelancer rates come from our HubSpot implementation guide and partners list, both researched the same day. The resolution rates, hours, hourly rate and freelancer hours in the cost tables are our assumptions, not anyone's published figures, and nobody can promise a resolution rate before seeing your tickets. We haven't run customer agent on a paid HubSpot account, didn't hire a partner or freelancer for this page, and none paid for placement. The same breakdown for another desk is our Gorgias AI setup cost page.
