What Does a Gorgias AI Setup Cost? Agency vs Freelancer vs Vendor-Led (2026)
A Gorgias AI setup costs nothing in fees if your own team configures Gorgias's AI Agent, about $245 to $1,700 from a freelancer, and $1,500 to $17,500 from an agency, based on prices published on October 14, 2026. Vendors that run their own agent on Gorgias charge no setup fee and bill monthly. The setup fee is the smaller part of the bill. At 1,500 tickets a month, Gorgias's AI Agent meter runs about $355 to $805 a month, and someone has to tune the agent every week after launch. Our year-one estimates for that store range from $9,268 to $45,400, depending on the route.
Key takeaways
- A Gorgias AI setup costs $0 in fees on the do-it-yourself route, about $245 to $1,700 from a freelancer, and $1,500 to $17,500 from an agency, at prices read on October 14, 2026.
- Gorgias AI Agent on the Pro plan costs $190 a month for 190 automated interactions; at 1,500 tickets and 30% automation, the AI line comes to about $580 a month at the $1.50 overage rate.
- On routes that use Gorgias AI Agent, our year-one estimate for a Shopify store with 1,500 tickets a month runs from $13,715 for a Fiverr gig plus in-house tuning to $30,980 for an agency build with a retainer.
- Smart Instinct prices scope past each Gorgias build tier at $1,500 per extra integration and $3,000 per extra brand, so subscriptions, returns apps and multiple stores raise the setup price.
- Macha has no setup fee and costs $299/month for 750 tickets, with setup and a dedicated success manager included, and promises live in safe mode within 7 days or the first month free.

What does a Gorgias AI setup cost by route?
Here's what each route charges to get an AI agent live on Gorgias, as published. Prices change often, so treat the date as part of the number.
| Route | Setup price | Time to live | What's included | What's left out | Source (read October 14, 2026) |
|---|---|---|---|---|---|
| Your team, Gorgias AI Agent | $0 | Not published for AI alone; Gorgias quotes an average of 60 days to launch for a full Gorgias onboarding | Self-serve onboarding on Starter and Basic, 1:1 onboarding on Pro, white-glove onboarding and a dedicated CSM on Advanced | All the configuration work; Gorgias's premium "Automate 50-in-50" program has no published price | Gorgias pricing, Gorgias onboarding |
| Fiverr gig (seller liampluglab, "deploy a Shopify customer support AI agent on Gorgias") | About $245, $595 or $1,295 | 3, 5 or 7 days | Categories set up by tier (5, then 8); the top tier adds multiple languages, VIP escalation, refund triage and 30 days of calibration | Help Center writing, custom integrations | Shown in rupees, converted and approximate (our competitor study, October 14, 2026) |
| Upwork package | $1,700 | 10 days | AI Agent setup from top ticket drivers, escalation, testing, Loom handoff, 30 days of QA | Help Center writing, complex integrations, voice AI, migration, "ongoing optimization after handoff" | Upwork listing |
| Agency, AI package | From $1,500 direct, from $1,700 on Upwork | 7 to 10 days | Guidance, Skills, Support Actions, handover rules | Ongoing tuning, unless you buy it | Platform Freaks pricing |
| Agency, full build | Audit $750; builds $3,750, $10,500 or $17,500 | 2 to 4, 3 to 5 or 4 to 6 weeks | Up to 33, 90 or 150 hours, valid 90 days; "AI Agent Skills built out" starts at $10,500 | Work past the tier's integrations, brands and platforms; tuning after the hours expire | Smart Instinct |
| Vendor-led, AdelanteCX | No setup fee | 10 days | Setup, testing and ongoing tuning inside $900 a month | Nothing extra listed; no free trial | AdelanteCX pricing |
| Vendor-led, Fini | "Implementation Included" | "Live in 14 days" | Setup on Growth at $0.89 per resolved ticket | The plan fee isn't printed on the cards (our Fini pricing breakdown) | Fini pricing |
| Vendor-led, Siena | Expert onboarding listed in its pricing | Not published | $750 a month platform fee plus $0.90 per automated ticket | Not stated | Siena pricing |
| Vendor-led, Macha (ours) | No setup fee | Safe mode within 7 days | Ticket analysis, knowledge base, agent build, testing and tuning by Macha's team | Nothing extra; the free trial includes the same setup | Macha pricing |
The cheap packages are cheap because they stop at handoff, and the $1,700 Upwork listing names "ongoing optimization after handoff" as excluded. The agency tiers price AI by scope. Smart Instinct's $3,750 Essential tier includes "AI answering the easy questions", and the tier that builds out AI Agent Skills is the $10,500 one.
What does Gorgias AI Agent cost to run at 500, 1,500 and 5,000 tickets a month?
Every route that configures Gorgias's own AI Agent also pays Gorgias's meter, whoever did the setup. Gorgias adds a fixed AI Agent line to each plan that includes a set number of automated interactions, and each automated interaction also counts as one helpdesk ticket. Past the allowance, the AI Agent description in the pricing page's structured data bills $1.50 per interaction. The same page's FAQ prices interactions at "$0.90 each on annual plans or $1.00 on monthly plans", and the plan table lists $1.00, $0.90, $0.90 and $0.85 by plan. We checked the page on October 14, 2026 and none of the three says plainly which rate applies past the allowance, so the table shows the $1.50 figure with the $1.00 monthly rate in brackets.
Assumptions (ours): monthly billing; the cheapest plan for the volume; 20% or 40% of tickets resolved by AI Agent with no human reply within 72 hours.
| Tickets a month | Cheapest plan for that volume (helpdesk only) | AI Agent line (included interactions) | AI cost at 20% automated | AI cost at 40% automated |
|---|---|---|---|---|
| 500 | Basic: $60 plus 200 extra tickets at $0.40 = $140 | $30 (30) | 100 interactions: $135 ($100 at $1.00) | 200 interactions: $285 ($200 at $1.00) |
| 1,500 | Pro: $360 (2,000 tickets included) | $190 (190) | 300 interactions: $355 ($300 at $1.00) | 600 interactions: $805 ($600 at $1.00) |
| 5,000 | Advanced: $900 (5,000 tickets included) | $530 (530) | 1,000 interactions: $1,235 ($1,000 at $1.00) | 2,000 interactions: $2,735 ($2,000 at $1.00) |
The arithmetic for the middle row at 40%: $190 covers 190 interactions, and the other 410 cost 410 x $1.50 = $615, so $805 a month. At 1,500 tickets that works out to about $1.34 per automated ticket. Pro is the cheapest plan at 1,500 because Basic would charge $60 plus 1,200 extra tickets at $0.40, or $540.
The meter rewards Gorgias for automation, which is fair, and it also bills a resolution when a shopper gives up without a human reply inside 72 hours, which is where a weekly review earns its keep. Annual billing lowers the AI line ($171 on Pro instead of $190). Our post on Gorgias double billing runs the same meter at other volumes, and how much Gorgias really costs covers the helpdesk side, including peak-season overage.
What does it cost after launch?
The setup quote buys a launch, and tuning is the cost most quotes leave out (hidden costs of AI support pricing). Someone then has to read the agent's conversations each week, fix the article or Skill behind each miss, and add the next category before peak season. That work is paid for in one of three ways.
| After-launch model | Published price (October 14, 2026) | What you get |
|---|---|---|
| Your own admin | No invoice; our estimate is 2 to 4 hours a week for one store | Gaia (beta) drafts suggested fixes for your approval (how the AI Agent learns); someone still decides |
| Agency retainer | From $1,000 a month (Smart Instinct); month-to-month retainers priced on a call (custo.tech, per our partners list) | Reviews and changes, within the retainer's scope |
| Outsourcer with its own AI | omnie: $1.00 per automated ticket at 500 a month, $0.95 at 2,000, $0.90 at 5,000, plus a $95 management fee (pricing) that it says covers ongoing AI model optimization | Its own AI agent on your Gorgias, tuned by its team |
| Vendor-led | Inside the monthly price at AdelanteCX, Fini, Siena and Macha | The vendor's team tunes; you approve changes |
The fixed-price packages all have end dates. Smart Instinct's build hours are "good for 90 days from kickoff", and its page lists "Someone internal will own the configuration afterward" under who it's best for. The Upwork package's QA ends at day 30. Fiverr's top tier includes 30 days of calibration. After those dates, the hours are yours.
Each seller's business model sets where its help stops. A project agency is paid for the build, so post-launch work is capped or sold as a retainer. Gorgias is paid per automated interaction, so its tools push automation up. A vendor that bills monthly loses the account if the agent drifts during returns season, so tuning is part of what it sells.
What does year one cost per route at 1,500 tickets a month?
This is our estimate for one Shopify store on Gorgias with 1,500 tickets a month. Change any assumption and the totals move, so every one is listed.
Assumptions (ours, except where a source is named):
- The Gorgias Pro helpdesk plan ($360 a month) is the same on every route, so it's left out of the totals.
- AI resolves 30% of tickets, or 450 a month. On Gorgias's meter that's $190 plus 260 x $1.50 = $580 a month, or $6,960 a year. At the FAQ's $1.00 monthly rate it would be $450 a month, or $5,400 a year.
- Your team's time is valued at $40 an hour. Swap in your own rate.
- Where your team owns tuning, it takes 3 hours a week after launch, from about week 4 to week 52 (48 weeks). On the agency row it starts when Smart Instinct's included hours end, 90 days (about 13 weeks) from kickoff, which leaves 39 weeks. Where a retainer or vendor owns it, your part is 1 hour a week of review and decisions.
- AdelanteCX: 4 AI messages per ticket (the middle of its own 3-to-5 rule), so 6,000 messages: $900 plus 1,000 x $0.18 = $1,080 a month.
- Macha: the agent works all 1,500 tickets, drafts or replies, so the 1,500-ticket tier applies ($599/month for 1,500 tickets). If it only works your first categories and they stay under 750 tickets a month, the 750-ticket tier applies instead.
- When a vendor's agent answers, Gorgias's AI Agent is switched off, so there's no AI meter on those rows.
| Route | Setup cash | Software in year one | Your team's time (hours x $40) | Year-one total |
|---|---|---|---|---|
| Your team, Gorgias AI Agent | $0 | Gorgias meter $6,960 | 30 setup + 144 tuning (48 weeks) = 174 h, $6,960 | $13,920 |
| Fiverr gig, $595 tier | $595 | Gorgias meter $6,960 | 10 setup + 144 tuning = 154 h, $6,160 | $13,715 |
| Upwork package (Platform Freaks charges $1,500 booked direct) | $1,700 | Gorgias meter $6,960 | 10 setup + 132 tuning (44 weeks after QA) = 142 h, $5,680 | $14,340 |
| Smart Instinct Professional, you tune | $10,500 | Gorgias meter $6,960 | 15 setup + 117 tuning (39 weeks after the 90-day hours) = 132 h, $5,280 | $22,740 |
| Smart Instinct Professional plus entry retainer | $10,500 + 11 x $1,000 = $21,500 | Gorgias meter $6,960 | 15 setup + 48 review = 63 h, $2,520 | $30,980 |
| AdelanteCX | $0 | 12 x $1,080 = $12,960 | 3 setup + 50 review = 53 h, $2,120 | $15,080 |
| Siena | $0 | 12 x ($750 + 450 x $0.90) = $13,860 | 5 setup + 50 review = 55 h, $2,200 | $16,060 |
| Fini Growth | $0 | 12 x $3,600 = $43,200 (plan fee from its page data, per our Fini breakdown) | 5 setup + 50 review = 55 h, $2,200 | $45,400 |
| Macha (ours) | $0 | 12 x $599 = $7,188 | 2 setup + 50 review = 52 h, $2,080 | $9,268 |
On cash alone, your own team running Gorgias AI Agent costs $6,960 in software, close to Macha's $7,188, and at 20% automation the Gorgias meter would be lower still. The difference is the 174 hours. If your admin already has 3 spare hours a week, DIY is a sound choice. If those hours would come from a new hire or from the team answering tickets, the vendor-led rows cost less. Among the routes that use Gorgias AI Agent, the agency rows cost most because the build fee and the retainer stack on top of the same Gorgias meter. On Macha's 750-ticket tier the software line would be $3,588.
Which Shopify jobs change the price?
On Gorgias, the first categories are nearly always Shopify jobs, and some of them add scope, hours or a higher tier.
| Scope | Why it changes the cost | Price signal (October 14, 2026) |
|---|---|---|
| Order lookups ("where is my order") | Gorgias AI Agent reads Shopify orders directly and needs a connected Shopify store; on BigCommerce, Magento or WooCommerce it isn't available (our non-Shopify guide) | Cheapest category on every route; off Shopify, a third-party agent needs a custom tool on that platform's API |
| Cancellations and address edits | Shopify order Actions work on unfulfilled orders only (order management guide) | Usually inside the base package; the refund and cancel limits are your decision on every route |
| Returns and exchanges | Creating the return depends on your returns app and whether it offers an AI Agent Action (Loop Returns on Gorgias) | Counts as an integration in agency tiers: Essential includes 1, Professional 5 |
| Subscriptions (Recharge, Loop, Skio) | Gorgias lists 10 Recharge Actions, and its Recharge, Skio and Loop Subscriptions Actions mostly run only when the shopper has a single active subscription (Recharge on Gorgias) | Each app is another integration: $1,500 past the tier at Smart Instinct |
| Multiple stores or brands | Separate knowledge, tone and routing per store | $3,000 per extra brand and $4,500 per extra platform past the tier at Smart Instinct; Premium ($17,500) is the multi-storefront tier |
| Languages | Knowledge and tone checks per language | Multi-language sits in the top Fiverr tier ($1,295) and in Fini's Scale plan, not Growth |
Subscriptions catch brands out most often. A shopper with two subscriptions who asks to skip next month gets handed to a person on Gorgias's Actions, so on a subscription brand the automated share in that category can be lower than a demo suggests. On Macha, Recharge, Loop or Skio connect through a custom API tool that Macha's team sets up during onboarding, at no extra charge, and what happens for a shopper with more than one subscription is written into the agent's instruction with you.
How can you cut the cost of a Gorgias AI setup?
- Start with one category. Order status is the cheapest to scope on every route. A one-category start keeps an agency in its lowest tier and a vendor plan small.
- Clean your policies before the clock starts. Agency hours are capped (33, 90 or 150 at Smart Instinct) and expire after 90 days. Move the real returns policy out of Macros (why that matters) and fix Help Center gaps yourself, so paid hours go to the agent.
- Book direct where it's cheaper. Platform Freaks says booking direct saves 10% against Upwork ($1,500 against $1,700). Smart Instinct credits its $750 audit toward a project booked within 30 days.
- Size the Gorgias plan to your AI volume. On Pro, the 190 included interactions run out at about 13% automation of 1,500 tickets. Annual billing lowers the AI line from $190 to $171.
- Don't pay two AI meters on one ticket. If you add a vendor's agent, split it from Gorgias AI Agent by channel or tag, or switch AI Agent off.
- Use the trial that includes setup. Macha's free trial is $50 of free usage (about 125 tickets), no credit card, no time limit, with the same done-for-you setup, so you can see drafts on your own tickets before paying anyone.
- Start four to six weeks before peak. Black Friday is November 27, 2026. A rushed November build costs the same fee and gives the agent less time to improve.
Which route costs least for your situation?
| You are | Lowest-cost route | Why |
|---|---|---|
| A Shopify store under 500 tickets a month, mostly "where is my order" | Your team, Gorgias AI Agent | The AI line is $30 a month on Basic and order data is built in |
| A Shopify brand at about 1,500 tickets a month with no admin time to spare | Vendor-led | Tuning is inside the price; your part is about an hour a week |
| A brand with an admin who has 3 hours a week | DIY, or a $1,500 to $1,700 package to start | The package saves setup time; the admin owns tuning from there |
| A subscription brand on Recharge, Loop or Skio | Test the single-subscription limit first, then price the integration | Each subscription app adds scope on agency tiers |
| A group with several stores or brands | Agency for the Gorgias build, AI from whoever will tune it | Multi-store routing is agency work; per-brand fees apply past the tier |
| A brand moving to Gorgias from another help desk | Agency for the migration (Smart Instinct from $3,500) | Migration is never part of an AI package |
| A store on BigCommerce, Magento or WooCommerce | Vendor-led agent on Gorgias | Gorgias AI Agent needs Shopify |
| A team starting under four weeks before BFCM | One category in safe mode | Drafts stay as internal notes, so nothing reaches shoppers unreviewed during peak |
Where Macha fits
Macha is one of the vendor-led options on Gorgias, and it's ours. Macha's team classifies about a month of your past Gorgias tickets, builds the knowledge base for the first category, builds the agent on your existing Gorgias and runs it in safe mode, with drafts as internal notes, until your team approves them. Live in safe mode within 7 days, or your first month is free. Your part is a 30-minute call, about 15 minutes to connect Gorgias and Shopify, and about 5 minutes a day reviewing drafts.
It costs about $0.40 per ticket, which includes setup and a dedicated success manager who handles new categories, policy changes and new tools, on one plan priced by monthly ticket volume. There's no setup fee and no retainer, because the done-for-you setup and the tuning are the product. Macha suits teams on Gorgias, usually Shopify brands, that want the agent maintained without adding an admin's hours. It doesn't replace an agency for a migration or a full Gorgias build, and if your admin wants to own every Skill personally, Gorgias AI Agent on your own team is the cheaper route. See Macha on Gorgias for the tool list, or request the free support audit to see which category to start with.
Common questions
How much does it cost to set up Gorgias AI Agent?
Published prices on October 14, 2026 ran from $0 if your team does it, to about $245 to $1,295 for Fiverr gigs that include AI Agent setup, $1,500 to $1,700 for fixed packages, and $3,750 to $17,500 for Smart Instinct's agency builds. Gorgias's AI meter is billed on top of every one of them.
Does Gorgias charge a setup fee for AI Agent?
No. Gorgias's pricing page lists self-serve onboarding on Starter and Basic, 1:1 onboarding on Pro, and white-glove onboarding with a dedicated CSM on Advanced, with no separate fee. Its premium Automate 50-in-50 program has no published price.
How much does Gorgias AI Agent cost per month at 1,500 tickets?
On monthly Pro, the AI Agent line is $190 for 190 automated interactions. At 20% automation (300 interactions) that's about $355 a month, and at 40% (600) about $805, using the $1.50 overage rate in the pricing page's structured data. The helpdesk plan is $360 on top.
Does a third-party AI agent on Gorgias also pay Gorgias's AI fee?
Gorgias's pricing FAQ defines an automated interaction as one resolved by AI Agent or another Gorgias automation feature, such as Flows, Quick Responses or Order Management. A reply from another vendor's agent isn't on that list. The ticket still counts toward your helpdesk allowance, like any other ticket.
Who pays for tuning after a Gorgias AI setup?
On the DIY, freelancer and fixed-package routes, your team does, after 30 days at most. Agencies sell it as a retainer, from $1,000 a month at Smart Instinct. AdelanteCX, Fini, Siena and Macha include it in the monthly price.
Is a cheap Fiverr or Upwork setup worth it?
It is if someone on your team will read the agent's conversations every week afterward. Our guide to who can set up AI customer support compares freelancer rates across help desks. The $1,700 Upwork package excludes "ongoing optimization after handoff", so from day 31 the agent is only as good as the hours you give it.
How we researched this
On October 14, 2026 we checked the raw HTML of Gorgias's pricing page, including the plan table, the comparison data behind its onboarding row and the structured data that holds the $1.50 overage rate, plus Gorgias's onboarding page. We read the pricing pages of Smart Instinct, Platform Freaks, AdelanteCX, Fini, Siena and omnie the same day. The Upwork and Fiverr offers come from our competitor study, which read them in a logged-out browser that day; Fiverr showed rupees, so its dollar figures are converted and approximate. Fini's Growth plan fee comes from its page data as reported in our Fini pricing breakdown; it isn't on the price cards. The Gorgias Action limits for Recharge, Skio and Loop Subscriptions come from Gorgias's help articles cited in our implementation guide. The automation rates, hours, hourly rate and message counts in the cost tables are our assumptions, not anyone's published figures, and nobody can promise a resolution rate before seeing your tickets. We didn't hire an agency or a freelancer for this page, and none paid for placement.
