Best Help Desk Migration Services (2026): 7 Tools Scored, and Which Help Desks Each One Moves
The best-scoring help desk migration service in November 2026 is Help Desk Migration, by Relokia, at 9 of 10 on five public criteria: platform coverage, published price, a free test, cutover without downtime, and reviews. ClonePartner follows on 8, then DataGrine and Sanka Migrate on 7. Below the ranking is a matrix of which tool moves data from and to 12 common help desks, a table of each desk's own importer, and a separate scored list of agencies that run the move for you.
Key takeaways
- Help Desk Migration scores 9 of 10 and is the only tool here with more than 50 reviews: 186 on G2, averaging 4.9.
- Help Desk Migration, ClonePartner, DataGrine and Sanka Migrate list all 11 named help desks in the matrix in both directions; SyncMatters covers a single pair.
- Zendesk has no importer from another help desk, only the Ticket Import API, while Front calls its own free importer "not actively maintained."
- Help Desk Migration, ClonePartner, DataGrine and Klamp document a delta run; Import2's docs tell you to stop using the old system before the full migration.
- None of the 25 Zendesk partners we scored publishes a migration price, while Orange Marketing sells HubSpot data migration packages at $950 and $2,450.

How we ranked them
We scored each tool from its own public pages, its review profiles and the help desks' own docs, on Plan 16's rubric for migration tools and services that are mainly software. Each criterion scores 0 to 2:
- Platform coverage: 2 = a public list of 15+ help desks it moves data out of AND into; 1 = 5-14, or one direction only; 0 = fewer than 5 or no public list.
- Published price: 2 = a price calculator or full price list on its site; 1 = a "from" price or a free tier only; 0 = contact sales.
- Test before you pay: 2 = a free demo/test migration on your own data, documented; 1 = paid or limited sample; 0 = none documented.
- Cutover without downtime: 2 = documented delta/incremental migration (records created during the move are carried over); 1 = mentioned without docs; 0 = not offered.
- Reviews: 2 = average 4.5+ with 50+ reviews on G2, Capterra or a help desk marketplace (use the largest one); 1 = 4.0+ with 10+; 0 = fewer or none.
Ties: more reviews first, then alphabetical. Present ties as tiers.
| Tool | Coverage | Price | Test | Cutover | Reviews | Total |
|---|---|---|---|---|---|---|
| Help Desk Migration | 2 | 1 | 2 | 2 | 2 | 9 |
| ClonePartner | 2 | 1 | 2 | 2 | 1 | 8 |
| DataGrine | 2 | 1 | 2 | 2 | 0 | 7 |
| Sanka Migrate | 2 | 2 | 2 | 1 | 0 | 7 |
| SyncMatters | 0 | 2 | 2 | 1 | 1 | 6 |
| Import2 | 1 | 1 | 2 | 0 | 1 | 5 |
| Klamp Migrate | 1 | 0 | 1 | 2 | 0 | 4 |
DataGrine and Sanka tie on 7 with no reviews on either side, so they share a tier and sit in alphabetical order.
Tier 1, 9 of 10
1. Help Desk Migration: the widest source list and the most reviews, 9/10
Help Desk Migration is a self-serve Migration Wizard run by Relokia, with paid assisted tiers on top. Its pricing page's estimate form names 106 platforms you can move from and 56 you can move to, 54 of them both ways. The lists also include knowledge bases, mailboxes and files, so Gmail and Outlook appear as sources only. Price is per record and falls per record as volume grows: the page's own examples are $100 for 1,000 records and $514 for 10,000 on the Essential plan, and attachments, comments and notes don't count as records. That scores 1, because there's no calculator, only an estimate-range form.
The free Demo moves up to 20 tickets with their users, plus 20 knowledge base articles, and you can rerun it. Delta Migration carries over tickets created or updated after the full run began, if you start it within 10 days; it's paid, and the Premium tier includes one. Reviews are the strongest here: 4.9 from 186 on G2, 4.8 from 108 on Capterra, and 161 on the Zendesk Marketplace averaging 4.96. One Zendesk Marketplace reviewer, about seven months before our October 30 read, wrote: "We used Help Desk Migration to move our data from Zoho Desk to Zendesk... There was a small hiccup during the process, but it was resolved promptly by the team."
Per-record pricing means the vendor earns more the more history you move, so the cheapest lever on its quote is a cut-off date for old tickets. It fits teams on an unusual source desk, since its source list is more than twice as long as any other tool's.
Tier 2, 8 of 10
2. ClonePartner: an engineering team that quotes a fixed price, 8/10
ClonePartner describes itself as "engineer-led" migration services, so it sits closer to an agency than a self-serve tool: a 15-minute discovery call, then a fixed-price quote, typically paid 50% upfront and 50% on completion. Its help desk page lists 43 platforms with no direction labels; route pages exist both ways for every pair we sampled, so we read it as both directions. The pricing page says migrations start at $500 for clean data under 10,000 records, most projects fall between $3,000 and $10,000, and large enterprise moves "can reach $50,000 or more."
It offers unlimited sample migrations at no extra charge until you sign off, and a final delta sync for data created in the source during the move. Reviews score 1: 4.8 from 19 on G2, plus three five-star reviews on its Zendesk listing. One, posted in late October 2026, describes a Gorgias to Zendesk move where the team "helped us work through several data deltas, and brought forward potential issues early."
It suits teams that want a person to own field mapping and edge cases but don't need a full implementation partner.
Tier 3, 7 of 10
3. DataGrine: free while it opens, with no reviews yet, 7/10
DataGrine's supported products page names 35 products and says "Any product here can be the one you leave or the one you move to." Every migration is free up to 500,000 records "while we open the platform," and above that it prices with its team, so the price scores 1. A free sample moves up to 20 of your own tickets into the live destination, where you keep it or roll it back, and its FAQ documents delta runs for records created or changed since the previous run.
The same FAQ says triggers, macros, SLAs, views and automations are "not data" and aren't migrated. We found no reviews on G2, Capterra or GetApp. The free period has no published end date, so check the price terms on the day you start.
3. Sanka Migrate: the only full price list and calculator, 7/10
Sanka Migrate is the only tool here with a full per-record price list and a calculator on its pricing page: 2 credits, or $0.005, per record written, with worked examples of about $350 for 10,000 records with one test add-on, $800 for 100,000 and $2,800 for 500,000. A starter grant of 4,000 credits worth $10 covers up to 2,000 records with no card, and scans and dry runs are free. Its Zendesk to HubSpot path describes a parallel run, with history moving while Zendesk still takes new tickets, but no delta run, so cutover scores 1.
Sanka's list of 47 help desks includes three Japan-market desks, Mail Dealer, Re:lation and Mailwise. The company also makes Sanka Desk, an AI help desk for employee IT requests. We found no reviews of the migration product.
Tier 4, 6 of 10
5. SyncMatters (MigrateMyCRM): CRM-first, with one help desk route, 6/10
SyncMatters is the company formerly known as Trujay: Trujay and IntegrateHQ announced their merger and rebrand as SyncMatters on March 14, 2024. Its MigrateMyCRM product is CRM-first. The connectors page lists 44 platforms, and the only help desks are Zendesk and HappyFox; the one documented help desk route is Zendesk Support to HubSpot tickets, in a blog post that covers tickets, agents, public and internal comments, attachments, and tags as checkbox property values. That's why coverage scores 0.
The pricing page is a full list: free under 100 records, $149 under 5,000, $599 under 25,000, $2,499 under 500,000, and a Guided Migration add-on at $875. Unlimited free samples each move a random 10% of your records. Capterra shows 4.7 from 39 reviews, mostly for CRM moves. It fits a team moving from Zendesk into HubSpot that wants the price fixed before it starts.
Tier 5, 5 of 10
6. Import2: the engine behind Help Scout's importer, 5/10
Import2 publishes targets only: its pricing page's destination selector lists 10 help desks, and its help center says to log in and pick a destination to see compatible sources. The only public source list we found is Help Scout's own importer doc, because Help Scout's built-in importer runs on Import2; those 30 sources apply to moves into Help Scout. Started from Help Scout, it's free up to 500,000 records. Elsewhere a full migration starts from $499, professional services from $5,000, and the free sample migration moves a random selection of each record type.
It doesn't run a delta. Its docs say "It's important that you stop using your original system before we start the full migration," and it doesn't move configuration such as users, templates or automations. Reviews score 1: 4.3 from 53 ratings on the HubSpot Marketplace.
Tier 6, 4 of 10
7. Klamp Migrate: delta sync, but no price or reviews, 4/10
Klamp's help desk migration page names 12 help desks to migrate from and says you can migrate to "Any platform listed above, plus any platform with an available API connector." It documents the strongest cutover claim of the seven: "Our Delta Sync technology runs an initial bulk migration, then catches all new tickets in real time." The Migrate plan is contact sales, and a free sample appears only in a Freshworks Marketplace app title, not on klamp.ai. Klamp's G2 rating, 5.0 from 25, belongs to another Klamp product, its embedded integration platform, so we didn't count it.
Which tool moves which help desk?
Each cell comes from the tool's own public list, matched by name. "From and to" means the desk appears as both a source and a target, "from only" or "to only" means one list, and a blank means the desk isn't on either.
| Tool | Zendesk | Freshdesk | Gorgias | Intercom | Front | HubSpot Service Hub | Zoho Desk | Help Scout | Salesforce Service Cloud | Freshservice | Kustomer | Gmail |

| Klamp Migrate³ | from and to | from and to | from and to | from and to | from and to | from and to | from and to |
¹ ClonePartner's list has no direction labels; we read it as both ways from its per-route pages. ² Import2's targets come from its own site. Its sources come from Help Scout's docs and only cover moves into Help Scout. ³ Klamp's "to" is its own claim that any listed platform can be a destination.
Four tools cover all 11 named help desks both ways, so the matrix matters mostly at the edges. Gmail as a destination appears only on DataGrine's list, Freshservice drops out for Import2 and Klamp, and SyncMatters covers a single pair.
For a rarer desk, go to the full list:
| Tool | Platforms on its list | Where to look |
|---|---|---|
| Help Desk Migration | 106 sources, 56 targets (lists include knowledge bases, mailboxes and files) | supported platforms, direction in the pricing form |
| Sanka Migrate | 47 help desks | sanka.com/migrate/apps |
| ClonePartner | 43 help desks | help desk data migration |
| DataGrine | 35 products, 32 of them help desk, ITSM or service | supported products |
| Import2 | 10 targets; 30 sources into Help Scout | pricing, Help Scout's doc |
| Klamp Migrate | 12 help desks | helpdesk migration |
| SyncMatters | 44 platforms, 2 of them help desks | connectors |
Your desk's own importer
Six of these eight desks document a built-in importer from named help desks in their public docs. Zendesk and Freshdesk's public docs rely on CSV or an API for ticket history.
| Help desk | Built-in route | Limits worth knowing |
|---|---|---|
| Zendesk | No importer from another help desk. Data importer takes users and organizations from CSV; tickets need the Ticket Import API | Up to 100 tickets per bulk request; exports out of Zendesk are off until the account owner asks, and not on Team plans |
| Freshdesk | CSV import of contacts and companies | That article covers no ticket import; Freshdesk's Zendesk-import article sits behind a login |
| Gorgias | Zendesk import, plus Gmail and Outlook history | Up to two years back; no attachments or ratings |
| Intercom | Zendesk ticket, user and organization importer | Meant for under 150,000 tickets; tags and side conversations aren't imported |
| Front | History imports from Zendesk, Help Scout and Freshdesk, free | Front says it's "not actively maintained" and recommends Help Desk Migration or ClonePartner |
| HubSpot Service Hub | Smart Transfer syncs Zendesk and Freshdesk tickets, then copies Zendesk ticket conversations, comments and attachments once; knowledge base import by URL | No custom objects; the one-time copies don't stay in sync; 400 articles per knowledge base import |
| Help Scout | Import Data, run by Import2, from 30 sources | Free up to 500,000 records; no knowledge base, saved replies or custom fields |
| Zoho Desk | Zwitch from Freshdesk, Zendesk, Salesforce, Kayako, Intercom, HappyFox, Help Scout or CSV | Up to 10 GB; a second phase about two weeks later picks up records created meanwhile |
Agencies that run the move for you
We scored partners that run the whole move on a separate rubric for agencies and partners that run migrations as a service, each criterion 0 to 2:
- Platform credentials: 2 = top tier in the help desk's own partner directory (Zendesk Premier/Advanced or AI-cert, HubSpot Elite/Diamond/Platinum, Gorgias Elite/Premier); 1 = listed partner; 0 = not in the directory.
- Migration offer: 2 = a dedicated migration page naming the source desks and what moves; 1 = migration listed among services; 0 = only a directory checkbox.
- Published price: 2 = a fixed price or package price; 1 = "from" price or day rate; 0 = quote only.
- After cutover: 2 = published post-migration support, hypercare or retainer; 1 = mentioned; 0 = none.
- Reviews: 2 = 4.5+ with 10+ reviews in the help desk's own directory; 1 = some reviews; 0 = none.
Ties: reviews, then alphabetical (we use the directory review count within a reviews score).
Moving into Zendesk
We checked all 154 Zendesk directory partners that tick Data Migration and scored the 25 that describe help desk migration on their own sites. Helpando.it scores 8 and nine more score 7; these are the top eight.
| # | Firm | Country | Credentials | Offer | Price | After | Reviews | Total |
|---|---|---|---|---|---|---|---|---|

| 8 | Gravity CX | Australia | 2 | 2 | 0 | 2 | 1 (5.0, 5) | 7 |
Helpando.it is the migration specialist of the group: its page names nine help desks plus CRM and legacy sources, lists what moves down to side conversations and inline images, and includes a delta run, a field-mapping document you sign off, a written validation report, and 14 days of availability after the move. Gravity CX has seven per-source pages and a 14-day stabilization period after go-live. LaPlante Management lays out three options, including a self-service route where it recommends Help Desk Migration. CRM Scene and 3Li Global also score 7 and rank below on directory reviews.
None of the 25 Zendesk partners publishes a price for a migration. The nearest is The SaaSy People's day rate of about $1,330 (£995). Helpando's cost guide quotes market ranges of $3,000 to $10,000 for a standard managed move as planning estimates, not its own price.
Moving into HubSpot Service Hub
HubSpot's directory has a CRM migration filter but none for help desks, so we built this pool by search and read each firm's own pages. We scored 18; these are the top six.
| # | Firm | Credentials | Offer | Price | After | Reviews | Total |
|---|---|---|---|---|---|---|---|
| 1 | MO Agency | 2 (Elite) | 2 | 1 | 2 | 2 (5.0, 180) | 9 |

| 6 | RevPartners | 2 (Elite) | 2 | 0 | 1 | 2 (5.0, 544) | 7 |
Here prices do get published. Orange Marketing sells data migration packages at $950 and $2,450, and its simple package names Zendesk, Zoho Desk and Freshdesk tickets. MO Agency says a straightforward migration for a team of 20 to 50 users typically starts from about $10,000 (£7,500), and it adds 30 days of hypercare. SmartBug Media's Zendesk offer starts at $5,000, though its page has listed conversations and macros as "coming soon." uspeh, HubXpert and Infinite Renewals also score 7; HubXpert has per-desk pages for 11 source help desks, the widest list we found.
If you also need the new desk configured, see our rankings of Zendesk implementation partners and HubSpot Service Hub implementation partners.
Which route fits your situation?
- Small move, small budget: Sanka's starter grant covers up to 2,000 records, DataGrine is free up to 500,000 records for now, and Help Desk Migration prices $100 for 1,000.
- Moving into Help Scout: use its built-in importer, run by Import2 and free up to 500,000 records.
- Zendesk to Gorgias: Gorgias's own importer is included, but leaves attachments behind; see our Zendesk to Gorgias guide.
- You can't freeze the old desk: pick a tool with a documented delta run (Help Desk Migration, ClonePartner, DataGrine, Klamp). Import2 is the wrong fit if you can't stop using the old system.
- Unusual source desk: start with Help Desk Migration's 106-source list.
- You want someone else to own it: ClonePartner for a fixed-price engineer-led move, or a destination partner above if you also need the new desk configured.
- You want the price before you start: Orange Marketing's packages for HubSpot, SyncMatters' tiers for Zendesk to HubSpot, or Sanka's calculator.
What moves, and what you rebuild
Tickets, comments, attachments, contacts and organizations move with every tool here. Configuration is where they split. Help Desk Migration's Zendesk page lists macros and triggers. Sanka brings Zendesk macros into HubSpot as text snippets and has you rebuild triggers. DataGrine and Import2 move no configuration at all. Gorgias's own importer drops attachments and ratings, so check each route's exclusions before you pick it.
For detail, read what moves in a Zendesk migration and what moves in a Freshdesk migration. The per-desk roundups go deeper on one platform: Zendesk migration and backup apps, Freshdesk, Gorgias and Front migration tools. For the timeline, use the Freshdesk, Gorgias or Front checklist.
What we check when a help desk reaches us right after a migration
On Zendesk, a Macha agent reads the ticket and its comments, custom field values and field definitions, and searches past tickets; it writes status, priority, custom fields, tags, internal notes and public replies. When an account arrives straight after a move, we check five things before an agent goes live.
First, history. Macha's AI Knowledge Builder builds a knowledge base from historical tickets, and agent simulations replay past tickets against an agent, so we check whether comments came across and whether the past-ticket categories still look like the team's real workload. Second, tags. If migrated tickets carry a tag, the agent's trigger can exclude them with the same tag-and-exclude pattern we use to stop loops. Third, ticket fields. Imported dropdown values become the values an agent writes, so we read the field definitions again. Fourth, rules. Triggers and macros rebuilt by hand need the agent's trigger active and its webhook payload in the trigger body. Fifth, replies. We run a simulation on real tickets and confirm whether replies post as internal notes or public before anything runs on its own.
Where AI fits after the move
Every tool and agency above moves records. Whatever AI agent ran on the old desk has to be rebuilt on the new one: its triggers, the fields it reads and writes, the macros it relied on, and the knowledge base it answered from. Macha runs AI agents inside the help desk a team already uses, on Zendesk, Freshdesk, Gorgias, Front, HubSpot or Intercom, set up and monitored by the Macha team. It fits teams that have just landed on one of those desks and want agents working from the history they brought with them. Pricing starts at $299/month for 750 tickets, with a trial of $50 of free usage (about 125 tickets), no credit card, no time limit.
FAQs
What are the best help desk migration services?
On our rubric, Help Desk Migration scores 9 of 10, ClonePartner 8, and DataGrine and Sanka Migrate 7. For a firm to run the whole move, Helpando.it leads the Zendesk partners we scored at 8, and MO Agency and Orange Marketing lead for HubSpot Service Hub at 9.
How much does a help desk migration cost?
Help Desk Migration's examples are $100 for 1,000 records and $514 for 10,000. Sanka charges $0.005 a record. ClonePartner starts at $500 and says most projects cost $3,000 to $10,000. Agency packages run from Orange Marketing's $950 to SmartBug Media's $5,000 starting price.
Can I migrate help desk data without downtime?
Yes, with a delta run. Help Desk Migration, ClonePartner, DataGrine and Klamp document one that carries over records created during the move. Import2 asks you to stop using the old system before the full migration.
Does Zendesk have a built-in importer from another help desk?
No. Zendesk's data importer takes users and organizations from CSV, and ticket history goes in through the Ticket Import API or a third-party tool.
Which tools move data both into and out of Zendesk?
Help Desk Migration, ClonePartner, DataGrine, Sanka Migrate and Klamp Migrate list Zendesk as both a source and a destination. SyncMatters moves Zendesk into HubSpot, and Import2 lists Zendesk as a destination.
<div class="docs-callout"><div><p class="docs-callout-title">Are you listed here?</p><p class="docs-callout-body">Partners and app makers can send corrections with a public source to [email protected]. We fix facts within a week. Scores follow the rubric above, not requests.</p></div></div>
How we researched this
On November 2, 2026 we read each tool's own platform, pricing, sample and delta pages, mostly with WebFetch and with a real browser where a page rendered only in JavaScript. Help Desk Migration's direction comes from the source and target lists in its pricing-page estimate form, and Import2's targets from its pricing-page destination selector. We matched every matrix cell to those lists by script. Zendesk Marketplace counts and review quotes date from October 30; other ratings from November 2. Native importer facts come from each help desk's own documentation, read on November 2; Freshdesk's Zendesk-import article redirected to a login, so we used its public CSV import article.
For agencies, we checked all 154 Zendesk directory partners that tick Data Migration and read about 75 partner pages, and built the HubSpot pool from about 30 searches. Prices are shown in US dollars; prices published in other currencies were converted at European Central Bank reference rates of October 29, 2026. We didn't run a migration, and we didn't contact any vendor or agency.
Disclosure: Macha makes AI agents that run inside help desks and doesn't sell migrations. Nobody paid to be listed, and Macha is not ranked here.
